Job Description
We are seeking a dynamic and creative Front Desk Receptionist to join our bustling multi-production studio. The ideal candidate should be someone who is not only passionate about fostering inventive multimedia solutions but also boasts a proven record of accomplishments in this field. As our Front Desk Receptionist, you'll play a pivotal role in marketing the studio and communicating with clients. Your main goal is to bring business to the studio.
Responsibilities:
- Extend a warm and friendly welcome to our visitors while diligently adhering to security protocols.
- Professionally handle phone calls, offering accurate information and ensuring that messages are promptly relayed.
- Efficiently manage Front Desk operations, including scheduling appointments, coordinating meetings, and maintaining the professional appearance of our Front Desk area.
- Offer valuable administrative support to various departments, encompassing tasks such as mail distribution, document organization, and maintaining office supplies inventory.
- Act as the central point of contact for facilitating seamless communication and coordination between our dedicated team members, valued clients, and external stakeholders.
- Deliver top-notch customer service by addressing client inquiries, concerns, and requests promptly and professionally.
- Skillfully work both independently and collaboratively with other members of our dynamic team.
Front Receptionist Duties:
- Ensure that payments are processed for studio sessions.
- Schedule studio session dates for clients.
- Provide clients with necessary forms, including waivers and consents.
- Explain restricted areas within the studio premises, accessible only with prior approval.
- Inform clients about warehouse usage time restrictions, with additional charges for exceeding allotted time.
- Educate clients about the restrictions associated with custom sets and props, available outside designated times only when agreed upon and paid for.
- Communicate the availability of complimentary water and snacks, with a reminder to confirm allergies before consumption.
- Advise clients about complimentary guest-only Wi-Fi, for general usage only.
- Enforce safety protocols and regulations, such as no smoking on the premises and restricted access areas.
- Make clients aware of additional services, including catering and studio technology usage at an extra cost.
- Provide clients with an end-of-day form for marketing opt-ins, Google reviews, and referrals.
- Inform clients that any belongings left behind during their session will be kept in the lost and found for up to 90 days.
- Supply clients with a copy of the studio's release agreement, outlining liabilities, potential risks, and relevant information.
- Notify clients of the requirement for a 72-hour notice for any session changes or cancellations.
- Inquire about additional services, like video editing or equipment rental, to meet the client's needs.
- Provide clients with contact information for a dedicated point-of-contact, which is the front receptionist, should they have any questions or concerns.
- Oversee office opening and closing procedures.
Requirements:
- Previous experience in similar positions.
- Exceptional multitasking and project management skills.
- Outstanding problem-solving and organizational abilities.
- Excellent communication skills.
- Must be located in the Fort Lauderdale area
