River Region Psychiatry Associates manages inpatient psychiatry units and provides consult services to hospitals, operates outpatient clinics throughout North America, including a mental health urgent care. As part of our mental health ecosystem, we employ psychiatrists, psychologists, psychiatric mental health nurse practitioners, family nurse practitioners, physician assistants, licensed clinical social workers, and licensed professional counselors. We also partner with community mental health organizations, rural health organizations, correctional facilities, rehab facilities, and nursing homes. Take a closer look to learn why a career with River Region Psychiatry Associates could be the best decision of your career.POSITION SUMMARY: This position reports to the Office Manager and is responsible for answering phone, patient check-in, patient verification, collection of co-payments, posting of payments, follow up on all no-shows and conducting call reminders to patients. PRIMARY RESPONSIBILITIES:Responsible for serving as the first point of contact for all incoming visitors, using a courteous and professional tone needed for listening and responding to their individual needs. Must be able to follow standardized workflows, work in a consistent/trackable manner to verify and capture all data needed to record every visit and communicate clearly with others. Excellent customer service skills are required to appropriately address any scenario encountered.To provide quality customer service by greeting our patients and visitors with a helpful, friendly and pleasant tone. Managing the accuracy of a patient’s account information, collecting outstanding monies, answering calls and providing support to providers. Assist to prevent insurance denials and issues on the back-end by collecting and entering the most accurate information. While assisting with answering incoming calls, providing provider support and any other duties instructed by your supervisor.

  • Assure the readiness of the reception area for each working day; open the waiting room at the designated time and have all Front Desk activities fully operational at the start of business hours. Kindly acknowledge all visitors promptly using a professional tone to initiate contact as they approach.

  • Follow set guidelines for verifying identity, correctly capturing, recording, and updating all required data for every visitor using GE Centricity. To verify identify ask for the patient’s name and date of birth, if a duplicate exists ask for another piece of information to verify identity i.e. social security number.

  • Promptly communicate along the appropriate channels to notify others of patient arrivals to best facilitate the optimal guest experience.

  • Verify insurance eligibility PRIOR to appointment, collect co-payments, co-insurance, un-met deductibles, and due balances and issue receipts before allowing patients to navigate towards provider back offices.

  • Inform the patient of the costs of the care being provided.

  • Respectfully partner with workers in other departments whose services may be needed to resolve any outstanding patient account issues.

  • Set up payment plans for patients unable to pay in full on a balance due at time of service.

  • Responsibly handling a cash drawer daily for all financial transactions, balancing cash at the end of each day, and following set protocol for the safekeeping.

  • Support others within the scope of front office duties and other offices as needed and offer help if you can.

  • Multi-task duties and coordinate with others to support a cohesive and friendly work environment.

  • Promptly answering incoming phone calls, carefully listening to the caller’s needs and being courteous when responding and making warm transfers to other departments within the organization.

  • Deliver the best possible customer service with every personal interaction.

  • Adhere to all guidelines set for protecting patient privacy and any confidential information gathered in any scenario. Use the utmost discretion when patients discuss or otherwise reveal any information that may constitute as Protected Health Information (PHI).

  • Assist with the inventory and maintenance of business/office supplies and the completion of business office reports including daily reports, deposit slip & Deposit Logs, No Show reports, etc.

  • Straighten the waiting room and lock the doors at the end of the work day.

  • Perform all othEr duties as directed by supervisor.

  • High School Diploma minimal requirement.

  • 2-3 years of experience Front Desk and clerical duties.
