Job description

Fleet Administrator

The Fleet Administrator is responsible forvarious dutiesincludingassisting the service and sales department, maintenance of the lot and vehicles cleanliness, driving and other duties. Additionally, it's important that this position assists Clients and team members in the receipt, parking, detailing, displaying, delivering, and returning of vehicles in a safe and timely manner, while upholding the highest levels of professional courtesy, safe driving standards, and integrity.

Responsibilities (included, but are not limited to):

Assist Service Department 30%

  • Replacing key fob batteries and replenishing all vehicle fluids. This includes, but not limited to, brakes, coolant and oil changes.
  • Adhering to service drive protocols for all new and pre-owed vehicles that enter the lot. This includes, standard greetings, vehicle pictures and collection of vehicle information.
  • Prior to client arrival, works closely with the Service Department to ensure vehicles are ready for delivery; inspects vehicles for stains, debris, and damage before returning the vehicle to the client; immediately reports damages to management.
  • Conducts quality control after vehicles have been repaired.
  • Ensures that all vehicle keys are returned to the appropriate location; ensures that all vehicles in the lot are locked, with the windows rolled up, and keys securely stored.
  • Coordinate with service department on lease returns with outstanding warranty needs.
  • Receive new vehicles from transport and visually inspect, stock in and turn over to service department for PDI.

End of lease and Manheim auction assistance 30%

  • Contact end of lease customers and discuss different varies financial options for retaining vehicle.
  • Schedule lease returns with the supporting dealership.
  • Negotiate a sell to the dealership prior to auction.
  • Contact Manheim Express for condition report and inspection.
  • Vehicle inspection on all lease returns and schedule Manheim Express for inspection.

Sales and Lease return Assist 20%

  • New and used vehicle delivery.
  • Clean, photo and upload all vehicles for sale.
  • Coordinate vehicle transfers to San Diego location.

Lot & Vehicle Cleanliness 10%

  • Maintains new, used, and service vehicle inventory appearance; this includes, but not limited to, or placement through a car wash, polishing or vacuuming vehicles.
  • As needed, inspects, cleans and organizes dealership lots and facilities. This includes, janitorial, maintenance, landscaping, removing debris, placement of cones and signs and vehicle movement as instructed that deface the dealership.
  • Clearing service drive: Installs seats, steering wheels, floor protection and key tags in all vehicles taken in for service. Moves Client and dealership vehicles to and from service lane, service stalls, and lots, or as directed by management and in accordance with dealership display standards.

Other 10%

  • As needed, responsible for porter duties between the sales and service department.
  • As needed, driving distances for dealer trades.
  • Sales: Ensures buyer guides and stock tags are placed in new vehicle purchase per company and government guidelines.
  • Performs other duties as assigned.

Required Qualifications:

  • High School diploma required; or equivalent.
  • Excellent organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to prioritize and multi-task with minimal instruction.
  • Great attention to detail.
  • A minimum of 1-3 years in a related role
  • Strong computer literacy with proficiency in
  • Valid CA Driver License is required.
  • Prior detailer, porter, or towing experience preferred.
  • Basic knowledge of Quality Management Systems (ISO 9001:2015) and Environmental Management Systems (ISO 14001:2015), as applicable.

  • Ability to frequently walk or move - to regularly move about inside the office.
  • Ability to frequently see or detect, identify, recognize, or assess surroundings while in the office.
  • Ability to occasionally bend, kneel, crouch, turn, and stoop.
  • Ability to frequently sit or be stationary for extended continuous periods of time.
  • Ability to stand for occasionally periods of time.
  • Ability to safely climb ladders, stairs, and ramps occasionally.
  • Ability to occasionally lift and/or push/pull up to 50 pounds.
  • Ability to wear personal protective equipment (PPE) correctly most of the day.
  • Driving company vehicles occasionally
  • Travel up to 40%

Work Environment The work environment characteristics described here are representative of those an employee encounters while performing their job in an indoor office environment. While performing the duties of this job, the employee may spend approximately 50% (excluding breaks and meal periods) of time in an office environment and 50% of the time in the non-office setting (garage and/or laboratory setting). When working in the non-office seating, it requires the use of personal protective equipment (PPE), including (but not limited to) safety shoes (unless staying outside of the working areas), bump caps, and/or safety goggles frequently.

Compensation:

$26/hr. - $30/hr. /hourly rate. Annual rate will vary DOE.

At Karma, our base pay is one part of our total rewards package.

Compensation offered may vary on multiple factors, including market location, education, skills and experience. The total compensation package for this position may also include other elements dependent on the position being offered.
