The Financial/Administrative Coordinator is responsible for organizing and recording all data associated with animal
research billing in customized Vivarium Management software. Responsibilities include issuing time sensitive
invoices on a monthly basis. This position orders all research animals under approved IACUC protocols as requested
by Principle Investigators (PIs) and ensures timely delivery on a weekly basis. Additional duties include organizing
census materials provided by other staff each week for data entry and/or upload to Vivarium Management software,
processing animal supplier invoices for payment in accounting software (Workday), assisting with ad hoc
bookkeeping and revenue analysis tasks, along with supporting supervisor with other matters as needed such as
providing reporting metrics from the Vivarium Management software. This position must provide excellent
customer service to Principle Investigators (PIs), research staff, students, co‐workers and visitors. This position is
responsible for time sensitive tasks in areas that are subject to regulatory and accrediting agency standards.
QUALIFICATIONS
Education and Experience
- Required: Associates Degree Required
- Preferred: Bachelor’s degree
- Minimum 2‐3 years relevant experience. Experience working in research environment preferred, or equivalent combination of education and experience.
Job Competencies
- Proficient computer skills including Microsoft Office (Word, Power Point, and Excel), Google Technology
- (mail, calendaring, spread sheets, shared documents), and Adobe Acrobat.
- Experience with billing software.
- Commitment to learn new technologies and other online platforms to increase department efficiency.
- Strong attention to detail, especially record keeping.
- Strong communication skills, both verbal and written.
- Must maintain calm, respectful and professional manner at all times.
- Commitment to customer service, interpersonal, time management and organizational skills.
