The Finance Assistant is an entry-level position within the finance department of an organization supporting Investor Relations, Financial Planning and Analysis, Internal Audit, Tax and Accounting. The primary responsibility of the Finance Assistant is to provide support in various financial and administrative tasks. The specific job duties may vary, but here is a general job description for the Finance Assistant:
- Financial Data Entry: Accurately and efficiently enter financial data into accounting software or spreadsheets. This may include invoices, receipts, expenses, payroll data, and other financial transactions.
- Investor Relations: Assist with setting up investor conference calls and scheduling investor meetings. Support the quarterly earnings release process by preparing the quarterly Briefing Book with supporting material for the earnings conference call. Update Wall Street Analyst consensus tables in excel and prepare schedules comparing actuals/forecast to consensus. Update notes sections of our IR Database to track investor meetings and feedback.
- Accounts Payable: Assist with invoice processing during busy times of the quarter, ensuring accuracy and proper authorization. Prepare payment requests, purchase orders, and maintain vendor records.
- Assist with tracking department spending to ensure budget compliance
- Assist the tax department with pulling files and organizing materials as needed to assist with audit requests and tax filing requirements.
- Documentation and Filing: Organize and maintain financial records, documents, and reports in both electronic and physical formats. Ensure compliance with record-keeping policies and procedures. Support the accounting team, make copies and prepare binders as needed for Board meetings.
- Prepare and maintain the finance organization chart.
- Audit Support: Assist with internal and external audits by providing necessary documentation and answering queries related to financial transactions and records.
- Data Analysis: Perform basic financial analysis and calculations, such as calculating variances, ratios, and percentages, to support decision-making processes.
- Communication: Collaborate with other team members and departments to resolve financial issues, provide support, and ensure timely and accurate financial processing.
- Compliance: Adhere to relevant accounting principles, regulations, and company policies. Stay updated on changes in accounting standards and contribute to maintaining internal controls.
- Administrative Tasks: Provide general administrative support, including answering phone calls, responding to emails, and assisting with other office tasks as needed.
- Reports to the CFO with dotted line to his direct reports.

Skills and Qualifications:
- Associates degree is preferred but not required
- Basic knowledge of Finance and Accounting preferred but not required
- Proficiency in using Excel spreadsheet applications and presentations in Power Point
- Attention to detail and accuracy in data entry and financial calculations
- Strong organizational and time management skills
- Ability to work independently and as part of a team
- Excellent communication and interpersonal skills
- Strong analytical and problem-solving abilities
