JOB DESCRIPTION:

The Finance and Administration Specialist reports to the Director of Finance and Administration, and will provide critical support to the Operations, Housing Acquisition, and Tenant Coordination teams, assisting in Finance and administrative support. They will work closely with our external support firms, government agencies, nonprofits, landlords, and internal Anthos|Home team. We are looking for Finance and Administration enthusiasts, team-oriented and mission-driven individuals

Finance responsibilities include the ability to:

  • Collect and file all office receipts
  • Manage receipts and invoice excel spreadsheets
  • Code all receipts on a monthly basis in Nexonia
  • Reconcile monthly credit card statements
  • Review, process, resolve discrepancies, and ensure accurate entry of invoices for all consultants and vendors
  • Code all invoices in DocLink
  • Manage the invoice collection process
  • Partner with accountants to help pull financial reports from Justworks, our PEO
  • Work in partnership with the other Operations Associates, and assist them when necessary
  • Other duties as assigned by the supervisor
  • Provide excellent customer service and confidentiality

Administration responsibilities include the ability to:

  • Oversee day-to-day office operations to ensure efficiency and compliance
  • Serve as the point of contact with the building property management
  • Manage office supplies inventory, including ordering and maintaining stock levels
  • Sort and distribute mail and office deliveries
  • Manage the well-being and cleanliness of the office
  • Coordinate office cleaning and maintenance on an ongoing basis
  • Manage office keys, badges, key cards/fobs for staff
  • Send building security names of visitors
  • Assist with preparation of trainings/special events, including support with set up and break down
  • Identify and implement process improvements to enhance office productivity and efficiency
  • Answer and direct phone calls and routing to appropriate individuals
  • Provide high-level administrative support to executive team
QUALIFICATIONS AND SKILLS:

Bachelor's degree preferred, and if not, candidate must have three or more years of experience working in administrative, finance, or operations support role.

Additional Skills include:

  • Must have strong technical aptitude, with advanced proficiency in utilizing MS Word, Excel, and PowerPoint
  • Salesforce experience and/or proficiency a plus
  • Excellent time management skills and the ability to work towards meeting multiple deadlines simultaneously
  • Must be detail-oriented and an effective problem-solver
  • Excellent communication, analytical, record-keeping and organizational skills required
  • An ability to work independently and in a collaborative setting
  • Ability to lift heavy objects (up to 30 lbs), and bend and stand for extended periods of time
  • Passion for the mission of the organization
  • Ability to work in a diverse environment
WORK ENVIRONMENT:
  • Competitive Pay: $70,000 - $75,000 salary range (dependent on experience)
  • WFH/Hybrid work: 3 days required in the office each week
