JOB SUMMARY:
The Finance Administrative Assistant role is a combination of administrative and bookkeeping skills. This role is a great fit for someone with exposure to accounting and interested in furthering their knowledge. This person will be detail-orientated but be comfortable with ambiguity and researching issues when needed.
JOB DUTIES:
Core duties and responsibilities include the following. Other duties may be assigned.
- Populate tax due date software.
- Enter fixed asset data into Sage (ERP) fixed asset software for tax depreciation and tracking.
- Review all tax mail, scan into relevant tax type folders.
- Assist in updating property tax payment and return calendars.
- Assist in processing completed tax returns of all types for mailing via certified mail, or email when applicable, in advance of due dates.
- Assist in running financial statement reports per tax entity in Sage ERP for various tax filings.
- Send proof of payment of property tax payments to landlord after payments are processed.
- Perform occasional processing of ACH tax payments through online tax portals.
- Complete entry level journal entries recording tax transactions.
- Audit document files for W-9's and investor payments.
- Request completion of vendor forms and W-9's
- Update Sage with Tax ID for accurate 1099 reporting
- Be an active resource to answer questions regarding tax timelines and due dates by researching and interpreting data.
- Assist in gathering necessary information for governmental tax audits.
- Keep corporate information confidential and develop safety measures such as random database backups.
- Comply with federal, state, and local tax requirements by studying existing and new legislation and maintaining compliance.

JOB REQUIREMENTS:
- 2+ years' related experience or equivalent.
- Basic understanding of accounting, financial, and business principles and procedures.
- Knowledge and familiarity of accounting software, with willingness to learn new tools.
- Proven ability to establish strong credibility and build relationships, proactively the on projects, and maintain strict confidentiality.
- Effective multi-tasker with demonstrated ability to prioritize.
- Demonstrate strong oral and written communication skills; ability to correspond in a professional, businesslike manner.
