Job Summary
We are looking for an individual that is organized, detailed oriented with excellent communication skills.
Overview: The File Manager is responsible for assisting the Estimators/Project Managers with the clerical, administrative & accounting functions of selling and managing jobs.
Responsibilities and Duties
· Work with collections,progress payments and final payments when needed.
· Coordination with other departments and office staff to complete projects, paperwork and keep the accounting processes timely for each project.
· Project tracking reporting on a weekly basis.
· Maintains notes in systems and job files as necessary following program guideline requirements.
· Handle office duties such as preparing communication with the Estimators, 3rd party companies and Corporate timely.
· Assist the office staff,the production management staff and sales staff as needed.
· Providing quick and accurate responses to vendors, agents and customers
· Work and communicate with insurance companies, 3rd party companies, Corporate and customers regarding claims as needed.
· Answer the phones,direct calls and assist clients.
· Communicate a positive image of the company to the entire staff and customers while maintain great customer service.
Qualifications and Skills
· Strong attention to detail
· Ability to multi-task and work efficiently in a fast-paced work environment
· Computer proficient; MS Office Suite
· Successful candidate will have excellent communication and customer relation skills and high sense of urgency with exceptional problem solving skill
· Detailed oriented team player with good interpersonal skills
· Excellent organizational skills
