Facilities and Safety Assistant
International Gourmet Foods, Inc. (IGF) services restaurants, gourmet markets, clubs, caterers, bakeries, country clubs, breweries, wineries, and hotels throughout the eastern United States. The Facilities and Safety Assistant assists in the management of IGF’s powered industrial trucks (PITs), delivery truck fleet across all IGF locations and dedicated, third-party “transfer” (tractor-trailer) lanes. This involves maintaining the current PIT and truck fleets, forecasting and planning future needs, and fostering and managing vendor relationships.
Duties and Responsibilities- Track and manage truck assets; enhance the tracking and management of truck assets by employing data analytics using existing systems to recommend optimal asset characteristics, appropriate use, and potential for asset tracking expansion
- Identify opportunities for cost savings via bill consolidation; assist in contract terms negotiations with leasing companies, resellers, and service providers
- Manage all truck fixed assets; work closely with the department and branch leadership to ensure inventory accuracy; diligently input and maintain all asset data in IGF's ERP
- Ensure all IGF delivery trucks are drivable, registered, insured, and well maintained
- Monitor truck mileage to ensure contract compliance for leased vehicles
- Manage all vehicle repairs and accident reporting; report damages to the appropriate internal parties, IGF’s insurance provider, and the leasing company, if necessary
- Assist with replacement vehicles (rentals) when necessary
- Work closely with the Virginia-based Deliveries team and Branch Operations leadership, who are responsible for coordinating the personnel, processes, and workflow of IGF delivery drivers
- Participate in route planning and truck tracking, as necessary
- Assist with predicting potential routing and delivery problems based on fleet characteristics
- Communicate truck lead times and usage based on need
- Help develop action plans to address routing and delivery issues
- Communicate fleet-related issues to other internal teams, as necessary
- Manage third-party relationships for dedicated (“transfer”) lanes
- Participate in overall operations planning; make recommendations related to processes, resources, training, and maintenance plans
- Perform other duties as assigned
- Ability to establish and maintain relationships with teams, departments, customers, service providers, stakeholders, vendors, and subject matter experts to ensure accurate and compliant output
- Excellent analytical, communication, investigative, organization, and data-entry skills

- Proficiency in M365, especially Dynamics, Excel, Forms, Outlook, Planner, SharePoint, Teams, and Word
- On-call availability in emergency situations
- Prior experience working for a food services importer/distributor or comparable business
- Experience in logistics, budgeting and forecasting, and asset management
- Compliance experience, including quality standards and good manufacturing practices (GMPs)
- Ability to achieve planned results through decisive action based on professional methods, business principles, and practical experience
- Bilingual communication skills
- Must be able to sit at a desk and work on a computer for prolonged periods of time
- Must be able to lift at least 20 pounds (lbs.)
- Must be able to access and navigate every department within the organization
- Requires bending, sitting, standing, walking, use of hands, arms, legs, eyes, and voice
