General Summary:

The Facilities and Maintenance Coordinator (FMC)  performs a variety of duties related to our shelter campus, its maintenance and upkeep, and provides support to the organizations various departments and programs.The FMC is responsible for maintaining the physical integrity of the campus, insuring a clean and well maintained living environment for shelter animals, visitors and staff. It is the FMC’s duty to anticipate, identify and correct all problems involving the property and to implement procedures that will prevent such problems and provide oversight to the facilities department and Maintenance workers in the performance of their job functions.


Essential Job Functions:

  • Oversees the administration of the daily operations of Maintenance & Facilities.
  • Manages all facility related contractual agreements, maintenance and repair.
  • Directs, guides, evaluates and counsels support staff in the performance of their respective responsibilities.
  • Maintain and repair as needed all permanent structures, kennels and fencing
  • Perform maintenance and repairs on shelter equipment or ensure maintenance is completed on time by the appropriate vendor.
  • Assist other employees with custodial duties including cleaning of the various facility common areas and restrooms.
  • Work with subcontractors and vendors as necessary to ensure proper completion of construction projects
  • Ensure safety compliance for facilities tasks
  • Work with landscaping vendor to assist with mowing, planting, watering, and garden clean up when needed and ensuring the grounds are maintained
  • Able to safely operate and drive our transport van, lawn mowers and other facility equipment *A clean DMV record is required
  • Ensure proper drainage of facility during rain storms
  • Receives and organizes supply donations, keeping an up to date inventory of supplies and materials on-hand
  • Coordinates logistics of incoming pallet donations with partners
  • Receives donated vehicles and executes all aspects of resale including DMV paperwork and coordination of repairs
  • Ability to work effectively with others
  • Receives calls and visitors, and refers inquiries as appropriate.
  • Orders janitorial supplies for the facility and coordinates purchases for other departments as needed
  • Oversees the Pet Food Pantry and coordinates donations and deliveries to support the program
  • Prepares supplies and arranges for snacks and beverages and room set-up for Board/Finance Committee meetings, general staff meetings and incentives.
  • Research cost, availability, and logistics of projects.
  • Must be committed to a high standard of safety and be willing and able to comply with all safety laws and all of the employer’s safety policies and rules and must be willing to report safety violations and potential safety violations to appropriate supervisory or management personnel.
  • Manages the upkeep of the employee break room.
  • Must be punctual and maintain regular, predictable attendance.
  • Other projects as assigned by the Executive Director.


Knowledge, Skills, and Abilities:

  • General carpentry, or general maintenance skills.
  • Requires considerable use of tact, diplomacy, discretion, professional conduct and judgment.
  • Intermediate computer skills using standard office programs such as Word, Google Workspace or similar programs.
  • Ability to read, analyze and interpret documents such as safety rules, operating and Maintenance instructions and procedural manuals. Ability to write reports, business correspondence, and procedural manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, employees and the general public.
  • Works independently in the absence of supervision.
  • Must maintain confidentiality of sensitive material.


Education and Experience:

  1. High school diploma or equivalent
  2. Two years of general maintenance or carpentry experience; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job as listed above.
  3. Valid California Drivers license, clear driving record for at least one year prior to application, and ability to safely operate both standard and automatic transmission vehicles.

Work Schedule: Typically Monday-Friday from 8am-5pm. Some weekends and evenings required to help execute BHS events and logistics.

Working Conditions:

Animal Shelter setting.  Team members to perform duties in all areas of BHS facilities. The environment can be dirty, smelly, noisy, stressful, and demanding. There is exposure to potentially dangerous chemicals, animals, parasites and infectious disease. Subject to animal bites and scratches while handling animals. Work can be physically and emotionally demanding. Any allergic condition that would be aggravated from exposure or through contact with animals or chemicals used to sanitize facilities, vehicles or equipment, may be a disqualification.
