Position Overview:

  • Assist the Facilities Manager and work closely with the Facilities Administrator I and location site contacts to ensure the day-to-day operations of all building's infrastructures are maintained.
  • Administrative support, including contractor liaison, as well as coordination of staff and office equipment during relocation, and at times, supervision, and physical assistance with maintenance tasks.
  • Must be flexible and adaptable with a strong attention to details and ability to maintain multiple tasks at simultaneously. Highly organized with a can-do attitude; responsible, reliable, and trusted to work independently.
  • Must always exercise strong judgment, discretion and maintain confidential information.

 

Responsibilities:

  • Track facilities service requirements or requests and ensuring all requests are completed within established deadlines and quality standards.
  • Managing spaces inside buildings, such as meeting room space, storage locations and security.
  • Ensure that all safety procedures are followed, and that safety equipment is always available and in good condition.
  • Establish positive working relationships with internal leaders, employees, and external contacts. Partner with executive to build an inspired workplace.
  • Communicate professionally in writing and verbally across all levels of the company and with external partners / customers / service providers.
  • Prepare Expense reporting (Concur)
  • Assist Finance and Accounting with month end reporting, CAPEX reviews, a list of assets for locations, and manage monthly rent payments.
  • Manage vendor maintenance/new vendor setups and invoice payments with accounts payable.
  • Schedule and arrange vendors for on-site locations and manage invoices for payment. Also, work with locations on safety related issues.
  • Handle personnel seating, updating seating chart with onboarding/offboarding.
  • Management of supplies needed from Contractors without Staples access.
  • Oversee Cleaning Company, including management of day-porters and supplies.
  • Manage HR compliance posters throughout all locations.
  • Work with Risk and Insurance manager for tracking incident reports.
  • Submit PPE (Boot, Vests, Hard Hat) vouchers for construction employees.
  • Furniture repairs

 

Support Manager:

  • Assist with project management of site moves or build outs for locations. Working with other departments to coordinate the moves, calendars and provide details to the proper parties for the move.
  • Assist with Travel Related Issues/Arrangements for International Travel. Assist/Train employees with travel (TMC) for teammates without credit cards and leadership.
  • Manage and assist with Security: vendors, guards, and any supplies needed.
  • Property management/Landlord requests and vendors.
  • Coordinate annual fire and evacuation drills with respective fire department and property management.
  • Manage safety training and safety visits from KPA.
