Department Overview
The Export Compliance Officer at OHSU serves as the point person on all Export Controls compliance related program enhancement, implementation and management/maintenance. The key responsibility of the Export Compliance Officer will be to work across OHSU with various stakeholders to build upon the Export Compliance and Management Program and implement new initiatives to increase awareness and ensure ongoing institutional compliance. This position reports directly to the Executive Vice Provost with a dotted line to the Vice President for Research Administration.
As the Export Compliance Officer you will report to the Division Manager of . You will assist in maintaining the functions of the Gastroenterology Administrative office. These duties include, ordering office supplies, managing the mail distribution, answering the division phone line, word processing a variety of
correspondence, reports, memos, takes meeting minutes and maintaining the division's faculty scheduling
software, Qgenda. Managing and maintaining the scheduling software entails reviewing the schedules for 34
faculty daily, entry of faculty clinic, endoscopy, attending and call schedules, reviewing accuracy of schedules,
communication with clinic and endoscopy schedulers regarding any changes and/or updates. This position
will also maintain records of vacation, academic and CME time used for faculty through the reporting function
of Qgenda. Other duties as assigned by the Division Manager.

Location: Works on Marquam hill in Multnomah Pavilion, flex 40-hour workweek in a shared office space. Combination telework and in office.
Pay Range: $99,340.80 - $168,854.40 annually

Function/Duties of Position
Support- Qgenda-
- scheduling software. Faculty calendars entered into software system include outpatient clinic and endoscopy, attending, nights and weekends, holidays, and grand rounds. Communicate with appropriate Departments. Maintain records of vacation and academic/cme time.
Administrative Duties-
- Maintain the functions of the GI Admin office. Order office supplies, computer equipment, software, printers and phones for staff and faculty. Manage the mail distribution and mailing for the division. Faculty support, make copies as needed and file documents. Prepare disbursement requests and reconcile AP, iExpense, CME, travel, and P-cards.
- Maintain records of vacation, academic and CME time used for educational purposes. Word process a variety of correspondence, reports, memos, or other information from dictation, rough draft or general instructions; takes minutes at meetings, answers phones, takes messages, screens calls and greets visitors.
Other Duties:
- Including special projects as assigned by the Division Manager. Among other duties to be assigned as needed.
Required Qualifications
Education:
- A Bachelor's degree and one year of general office or secretarial experience; OR
- An Associate's degree or certificate in office occupations or office technology and one year of general office or secretarial experience, OR
- Two years of general office or secretarial experience.
- Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience.
Job Related Knowledge, Skills and Abilities:
- Proficiency with Microsoft Office applications.
- Must be detail-oriented, self-motivated and interested in problem solving.
- Exhibits professional behavior at all times, in person, over the phone and through electronic communications.
- Maintains highest level of confidentiality.
Preferred Qualifications
- Previous experience coordinating and implementing administrative processes, including analysis, tracking and communication.
- Previous experience working in an administrative capacity in an academic institution
