About Harmony Animal Hospital:
We have been on quite a journey since we opened our clinic in September 2019 and became the first Fear Free Certified clinic in Northern Virginia! We opened with the owner-doctor and 4 support staff. We thrived during the COVID 19 pandemic and grew our staff to now include 4 doctors and 16 support staff! We exist to create a nurturing environment where we strengthen the bond between pets and their families through education and compassion.
Our leadership team is responsible for creating our vision (we’ll happily share this with you) and we are now growing the team capable of making this vision a reality. This job has arisen because one of our existing team is moving into a new role we created, so you are not replacing someone who has left us or burned out.

About You
We are looking for a Client Service Representative with at least 2 years experience. You’ll not only love helping pets but you will play well with people also! We are quite busy so we need someone who is a fast paced learner and go-getter.
We need someone with charisma who can build trusting relationships. Someone who can greet and answer multiple phone lines with a cheery smile on their face. You’ll most likely be someone who likes to learn as well as help others grow.
We do have clear guidelines and expectations about how we work together as a team, and we do work hard-but we are not looking for someone who will work themselves into the ground. The last thing we want is for any of our team to burnout, so we need you to be aware of how to take care of yourself as well.
We are trying to change the mold of veterinary medicine by creating a great working environment where we care about each other as much as we care about pets and clients. Profit matters, but it’s not the most important thing to us. Our people come first, then pets, then clients-if we get this stuff right, then we know the financial side of life will look after itself.

You can schedule appointments, scan, fax, and email. You will be skilled at writing. You will have the ability to juggle a busy reception area with compassion and patience. You will also be a person who can manage time, priorities and get work done efficiently on a daily basis. This also means taking your lunch breaks because you can’t be at your best when you are running on fumes.

The ROLE

We are looking for a full time Client Service Representative who can work 35-40 hours per week Monday through Friday. We are open every other Saturday from 8AM-12PM and you would work 1-2 Saturday’s per month (you would work shortened weekday hours on the Saturday’s you work).
During your work days you will be answering multiple phone lines, educating clients & using our Fear Free practices with our patients, checking clients in and out, scanning/uploading and entering patient information, preparing forms, requesting records from other clinics, communicating requests from clients to doctors, detailing all communications in our software system, approving online pharmacy requests, managing emails & our loyalty program, cleaning, laundry, laughing, petting puppies and kitties and so much more!

~$18.00-20.50/hour
