Job description

Under the direction of the Manager of Exhibitions & Interpretive Engagement, the Exhibitions Coordinator provides critical project management and administrative support for targeted exhibitions. The ideal candidate will love contemporary art, be highly-organized and detail-oriented, possess excellent relationship-building and communication skills, and have experience organizing exhibitions and/or handling and installing artwork.

The Exhibitions Coordinatoris a part-time position for a period of six months with the potential for renewal. The Coordinator will work 15-20 hours per week at an hourly rate of $20-22, commensurate with experience. The position requires a minimum of two days/week in person with the option of working additional hours remotely. On site presence during installations, deinstallations, openings (typically on Saturdays), and programs (typically in the evenings) is mandatory.

Key Responsibilities

● Coordinate project management of the annual members exhibition, the annual solo exhibition program, and other exhibitions as assigned.

● Act as liaison/contact for assigned exhibitions; work closely with staff in all departments as well as artists, vendors/contractors, and volunteers.

● Coordinate with Marketing to promote upcoming and current exhibitions; prepare materials (images, credit lines, descriptions, etc) needed for promotion.

● Correspond with prospective and exhibiting artists about opportunities, deadlines, art sales, and more.

● Organize and review application materials; make artist recommendations to the Manager of Exhibitions & Interpretive Engagement.

● Prepare, collect, and process departmental paperwork, such as check requests and invoices, artist checklists and contracts, etc.

● Organize and maintain orderly digital exhibition folders that include photographs, object lists, contracts and invoices, press materials, etc.

● Plan and oversee installation and deinstallation of assigned exhibitions; organize and coordinate with artists, Facilities team, and other installers; assist with packing, unpacking, and installation of artwork as needed.

● Collect content for, proofread, and manage the production of exhibition labels and graphics.

● Respond to artist inquiries pertaining to assigned exhibitions that come via the website, email, telephone, or in-person.

● Organize and oversee expanded programming for assigned exhibitions targeting artist members and exhibiting artists as well as the general public.

● Interact with visitors and prospective buyers and give exhibition tours as needed.

● Conduct research for select exhibitions as requested by the Manager of Exhibitions & Interpretive Engagement.

● Represent exhibitions department at museum events and programs.

● Other duties as assigned.

In order to fulfill the essential functions of this job, the Exhibitions Coordinator must be able to perform moderate physical activity such as climbing ladders, lifting, kneeling, standing, or walking for extended periods. The employee is also regularly required to communicate and exchange accurate information using various methods including in-person, virtual, telephone, and email.
