- High School Diploma or GED – Required
- Associate’s or Bachelor’s Degree – Preferred
- Previous administrative assistant or administrative profession experience – Required
- Financial Services Industry – Preferred
- Proficient knowledge of customer service principles and processes
- Proven knowledge of Microsoft Office tools
- Proficient knowledge of phone usage
- Proficient knowledge of using copy machines
- Proven knowledge of office procedures and of spelling, grammar, punctuation, and arithmetic
- Proficient knowledge of the English language
- Proficient English speaking, reading, and writing skills
- Proficient customer service skills
- Proven skill in talking to others to convey information effectively
- Proficient collaboration skills
- Proven data entry skills
- Proficient skill in completing assignments accurately and with attention to detail
Want some more specifics? Here’s what you’ll be doing:
- Establish and maintain effective and collaborative working relationships within the office, across the executive team’s areas of responsibility and throughout company
- Manage confidential information and communications for the executive team; maintain complete confidentiality and be aware of topics/projects which are sensitive or proprietary information
- Manage communication logistics for all executive team members and provide a bridge for smooth communication between the executive office and internal departments
- Collaborate with employees throughout the Gradient family of companies as needed to accomplish a wide range of tasks
- Work closely with key internal team members to ensure smooth day-to-day operations of the office
- Provide a positive environment for all visitors and guests
- Prepare and distribute correspondence, reports and other related materials
- Manages an extremely active set of calendars and schedules
- Generating communications and presentations originating from the executive team
- Creates and maintain filing systems, to provide historical reference to the executive department
- Prepare memos, letters, reports, presentations and other business correspondence, either independently or from written/verbal instructions
- Composes and prepares correspondence that may be confidential
- Copy and distribute correspondence in a timely and efficient manner and file all appropriate documents. Maintain permanent chronological correspondence files
- Prepare PowerPoint presentations and supporting materials on behalf of Executive team
- Conducts research and compiles necessary data
- Assists with logistics for meetings: including collecting meeting materials, creating agendas and presentations, and organizing food and beverage for meetings, as necessary
- Routes phone calls, fax, mail and e-mail messages and may handle wide-range information dissemination
- Reconcile business expenses and prepare and process expense reports
- All other duties as assigned
