The Executive Office Coordinator provides high-level support directly to the President of AARP Foundation. Supports various organization-wide projects, programs, and initiatives. Participates in and contributes to special projects, as needed. Maintains a high-level of professionalism. Handles highly important or confidential information. Interacts with a high level of professionalism when working with board members and both internal and external stakeholders.

Responsibilities
  • Provides high-level professional administrative support directly to the President or CEO in all aspects of the daily work routine. Maintains the President or CEO's calendar, schedules meetings, appointments, speaking engagements, and travel arrangements. Exercises discretion in committing time and evaluating needs.
  • Serves as the liaison between the President or CEO, staff, and external customers/vendors, including receiving and screening phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and appropriately directing calls for resolution.
  • Keeps the President or CEO advised of time-sensitive and priority issues, ensuring appropriate follow-up. Determines priority of matters of attention for the President or CEO. Redirects matters to staff to handle, or handles matters personally, as appropriate. Maintains confidential and sensitive information.
  • Composes and prepares letters relating to routine correspondence for the President or CEO's signature.
  • Schedules departmental meetings. Assists in the preparation and distribution of meeting agendas and materials. Attends meetings, takes notes, and prepares summaries and reports of the meetings.
  • Tracks project/program activities and participates in project activities, including preparing budget or ad-hoc reports, monitoring vendor invoices, ordering and inventory control.
  • Builds collaborative working relationships across the organization, with external partners, and/or with vendors. Maintains an understanding of the relationships important to the department's work.

Qualifications
  • 5+ years experience supporting an executive's office
  • Understanding of core operational support of a business unit and its executives
  • Detail-oriented, organized, and can manage and track multiple projects, requests, and deliverables
  • Process improvement experience
  • Ability to work with data
  • Prior experience working with Board of Directors
  • Project management experience preferred

Flexible Work Arrangement (FWA)
AARP observes Mondays and Fridays as telecommuting workdays, except for essential functions. Remote work and telecommuting can only be done within the United States and its territories.
