Let's talk about the role and responsibilities:
- Provides high-level administrative support and assistance including calendar, expense, travel, corporate event management etc. to the President and CFO and/or other assigned leadership staff
- Acts as a strategic partner and advisor for the executive team to assist in making well-informed decisions
- Performs administrative tasks including developing presentation materials and briefs to ensure executives are prepared for meetings
- Identify and defines gaps in communication and other areas, escalating appropriately
- Be a team expert and go-to person for business related to department and executive
- Partner with all departments and executive leadership to ensure teams have appropriate resources
- Plan team building events while having a pulse on culture and executive team morale
- Attend and takes detailed and organized notes in staff meetings, and ensures completion of all tasks and action items
- Manage a variety of different completing projects and events to successful completion
- Partner with the CFO/President to track key project milestones across the company
- Create, edit, and revise reports, letters, invoices, emails, organizational announcements, presentations and other documents, as needed.
- Performs additional duties as assigned as needed
Let’s talk about your skills/expertise:
- 4+ years experience providing direct administrative support to Executive level individuals
- Experience with building out programs a plus
- Excellent communication and collaboration skills
- Proven time management and organizational skills with an ability to meet deadlines
- Ability to function in a high-paced environment, remaining calm under pressure and resourceful to solve items that arise
- Flexibility in work hours based on the shifting nature of travel and time zones of the President; experience working with a remote executive a plus
- Exercise independent judgment to stay on course with job duties while taking ownership and accurate follow through to completion
- A keen interest in how our business is run, and a thirst to learn every day
- A demonstrated dedication to high professional ethical standards, judgment, and confidentiality in a diverse workplace
- Proactive and moves with a sense of urgency, considers all scenarios and gathers all pertinent information before communicating
- Comfortable setting up and troubleshooting virtual conferences (coordinating video and audio conference calls) via Teams/Zoom
- Exhibits a high level of comfort and expertise utilizing Google and MS Office Suites
