Executive Assistant to the Superintendent
Located a ½ mile from the Atlantic Ocean and 15 minutes from Portland, RSU 23 is a 700 student, three-school district seeking an Executive Assistant to the Superintendent to join our central office team. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The Administrative Assistant to the Superintendent will support the mission of RSU 23 schools and assist with tasks necessary for the efficient operations of the district.

The successful candidate should possess the following:
CERTIFICATION REQUIREMENTS:
  • Associate degree or minimum of 3 years work related experience.
  • Hold or eligible for a State of Maine Criminal History Records Check.
QUALIFICATIONS / JOB SUMMARY:
PERFORMANCE RESPONSIBILITIES
  1. Superintendent
    1. Assists the Superintendent in general administrative operations and serves as his/her confidential assistant
    2. Reports to the Superintendent on developments or problems requiring the Superintendent's awareness or action.
    3. Maintains thorough knowledge of school department policies and procedures.
    4. Maintains the Superintendent's schedule of appointments and makes arrangements for conferences and interviews.
    5. Takes and transcribes dictation of various types, including reports, minutes, notices and correspondence.
    6. Maintains a manual and electronic filing system and processes incoming correspondence.
  2. Central Office
    1. Serves as the Central Office first point of contact and welcomes visitors and receives, screens, and routes incoming phone calls and correspondence.
    2. Maintains a portion of the district website.
    3. Prepares and distributes Leadership Team agendas and minutes and facilitates meeting planning, etc.
    4. Operates computers, copiers, fax machines, printers, telephone and other general office equipment and is responsible for reporting equipment problems and failures.
    5. Maintains databases for contracts, evaluations, professional coursework and certification for all staff and assumes responsibility for compliance.
    6. Prepares reports for enrollments, home schooling, and annual end--of-- the year state reports.
    7. Maintains lists of subsidy waiver students, homeschooled and private schooled students, new staff hires and attendance at New Hire Orientation.
    8. Serves as the chief MEDMS Administrator for the district.
    9. Manages building security access
    10. Performs administrative and secretarial duties for other Central Office Directors
    11. Orders supplies and equipment as needed.
  3. School Board
    1. Maintains the School Board's policy manual, ensuring policies are current and up--to--date, and is responsible for distribution of manuals.
    2. Keeps full and accurate minutes of School Board meetings and prepares and distributes, both manually and electronically, agendas, minutes, and all support materials in a timely fashion.
    3. Maintains a binder for School Board agendas and minutes for auditing and record keeping purposes.
  4. Other
    1. Performs other duties assigned by the Superintendent.
