General Overview

The position to support North Avenue pastors is critical to the overall effectiveness of the church and our ministry, since pastors are the leaders of vision, spiritual growth, and well-being of the church. Their schedules are busy with various activities that require many details to be organized and handled well. The Executive Assistant will provide essential support to the pastors, so they can focus on their ministries in the work of the church.
Supervisor: Senior Pastor / Head of Staff
Hours: Full-time Monday through Friday and occasional nights and weekends dependent on church events
Essential Responsibilities:
- Manage calendars, scheduling, appointments, and meetings for the Senior Pastor and Associate Pastors, including travel arrangements, communications, and meeting reminders
- Serve as liaison for the pastors between staff, church leaders, and church members
- Prepare correspondence, emails, and written materials on behalf of the pastors to communicate within the church and with external community stakeholders
- Attend to routine office tasks such as filing, ordering materials, check requests, and others
- Support pastoral and ministry staff regarding worship planning, details and arrangements for Sunday worship, discipleship classes, as well as special worship services and church events
- Prepare and distribute worship bulletins and coordinate details and responsibilities with pastors, ministry staff, liturgists, and officers or services (e.g., send reminders regarding prayer and communion duties)
- Schedule and coordinate weddings, baptisms, funeral/memorial services and corresponding receptions between family members, event representatives and church staff.
- Coordinate decorations and support for Christmas, Thanksgiving, Easter and special services and events of the church
Other Responsibilities:
- Participate in Ministry Staff meetings and planning as requested
- Schedule events on the master program and facilities calendar of the church
- Provide careful calendar analysis to prevent conflict of programs
- Organize special events as requested
- Proofread/edit written material for Pastoral Staff and Session
- Assist in planning and execution of events related to the Office of the Pastors
- Provide administrative assistance to Clerk of Session
- Other Duties as assigned by the Senior Pastor & Associate Pastors
Qualifications and Skills:
- 3-5 years' experience as an Executive Assistant or equivalent role with a mid-size organization, preferably non-profit
- Have respect for Christian beliefs and traditions
- Dedicated to maintaining confidence and overseeing confidential information properly
- Adept with all forms of communication (writing, research, reporting) and with interactions across a broad spectrum of people, ideas and entities
- Proficient with planning, scheduling, and overseeing a variety of events
- Collaborate easily and maintain congenial relationships with co-workers and volunteers
- Agile in working flexibly in a busy and rapidly changing environment
- Strong organizational and computer skills
- Significant experience with Microsoft Office and its tools

Salary: $45,000.00 - $55,000.00 per year
Schedule:
- 8-hour shift
- Monday to Thursday in-person
- Friday remote
