About The Position:

The Executive Assistant to the President/CEO is primarily responsible for providing C Suite level administrative support to the President/CEO. The Executive Assistant to the President/CEO will manage all duties associated with the role while safeguarding the confidential nature of discussions and information shared in meetings. The role will serve as the face of the president's office, exercising independent judgment in matters related to the business and interacting daily with key stakeholders such as the Liaison to the Board of Directors, Board members, committee members, business partners, and vendors. In addition, this role has the authority to execute contracts and make unilateral decisions relative to the needs of the President/CEO.

What You'll Be Doing
  • The administrative support includes but is not limited to scheduling, organizing, and maintaining meetings and events. It also includes travel coordination, telephone and mail assistance, minute taking and transcription, official file organization and maintenance, information gathering, and publication, drafting and proofreading written communication, reporting, and corporate expense management.
  • Maintain the Policy Manual as needed.
  • Maintain vendor contracts in Venminder as applicable.
  • Act as the CUboardroom Administrator, working closely with the vendor in effectively communicating and training the Board of Directors, President/CEO, and GNCU management on upgrades/changes to the platform.
  • Act as the NCUA "Contact" Profile Administrator.
  • Attend and directly support the President/CEO at the Board of Directors monthly meetings. Coordinate with the Liaison to the Board of Directors to produce and finalize the Board agenda. Complete the Board packet, its distribution, and communication to the Board of Directors, President/CEO, and other leadership attendees in preparation for the meeting. Transcribe the meeting minutes.
  • Organize and support the Annual Meeting by working closely with the Liaison to the Board of Directors in developing the Annual Meeting script as directed by the President/CEO. If the Annual Meeting is held in person, coordinate the venue and the food/beverage set up. Other tasks include third-party support/coordination for the balloting process, coordination with the Marketing department for reports and marketing material, rehearsal coordination, minutes of the meeting, reporting requirements to the NCUA/FID, meeting invite/35-year membership recognition program, Board orientation (as necessary), and updating Board Terms and Roster.
  • Organize and support the 401(k) Trustee Meeting, the EM/CLT Meeting, Governance Committee, and other meetings applicable to the President/CEO. Attend assigned meetings as needed.
  • Attend and directly support the President/CEO at the Board Planning Session. Assist the Liaison to the Board of Directors as needed. Purchase Board gifts from the President/CEO.
  • Attend, organize, and support Management Planning Sessions and other ad-hoc events supporting the President/CEO. Event planning includes negotiating and executing a contract with the venue for the meeting room, sleeping rooms when applicable, catering, AV equipment, transportation, and other necessary tasks to ensure a productive outcome.
  • Work closely with the Liaison to the Board of Directors to ensure a strong working relationship with the President/CEO and other Greater Nevada executive and chief management team members.
  • Enhance the public image of Greater Nevada and the President/CEO through interactions with current and prospective business partners, members, public policymakers, and the general public.
  • Act as a mentor to other members of the Administrative Services team, providing guidance, training, and supervision on projects and assignments when needed.
  • Provide backup support to members of the Administrative Services team as assigned.
  • Provide backup support for the Liaison to the Board of Directors as needed.
  • Obtain and maintain a Notary Public commission.

Compensation
  • $57,000.00-$79,000.00 per year
  • Competitive compensation and Greater Benefits are part of our deal

Physical Demands
  • While performing the duties of your job, you may regularly be required to sit and use a keyboard, multiple monitors, mouse, and telephone (including repetitive motions with hands, fingers, arms, etc.) for extended periods of time. You may also frequently be required to stand, walk, and reach with hands and arms, bend, and kneel.
  • You may occasionally be required to lift and/or move up to 20 pounds.
