The Role
The Executive Assistant to the ChiefExecutive Officer (CEO) strives to anticipate needs, keep things running smoothly, and clear the path for our executives to do their best work. The ideal candidate has prior experience in a similar role, is adept at navigating a fast-paced environment, and is passionate about making an impact. In this role, you will provide comprehensive administrative support, manage office tasks, and assist with various projects to ensure smooth operations.
Who You Are
- Associate or Bachelor's degree preferred
- 1 to 2 years of experience in an administrative role, or relevant experience as a receptionist, secretary, administrative assistant, or office manager
- Professional demeanor and excellent written and verbal communication skills
- Ability to prioritize and seek guidance when multiple and competing priorities arise while maintaining attention to detail
- High proficiency in Google Workspace, Microsoft Office (Word, Excel, Access, and PowerPoint) and other relevant office software
- Demonstrated creativity and a desire to continuously learn and contribute
- Interest in business and entrepreneurship, with a willingness to take on diverse responsibilities
- Flexible availability to work primarily in-office (Boston, MA) 20-30 hours per week with potential for additional hours as needed
What You'll Do
- Support the CEO in personal day-to-day operations as needed, maintaining confidentiality and professionalism at all times
- Handle general office administrative duties including calendar management, document editing, scanning, filing (both electronic and paper), and assisting the CEO with miscellaneous tasks
- Conduct comparative research to identify potential vendors and software solutions, providing valuable insights to support decision-making
- Oversee spreadsheet management to facilitate data organization and analysis
- Coordinate travel arrangements, including flights, accommodations, and ground transportation, optimizing efficiency and comfort for the CEO
- Coordinates and schedules meetings. Prepares agendas with clear outcomes. Records and distributes notes when necessary. Supports the development of key presentation materials including items such as decks, handouts etc. with a dedication to quality and attention to detail as an extension of the team you support.
- Perform other duties as assigned and/or needed
