The Executive Assistant (EA) supports the CEO and reports directly to him, a demanding, important, and privileged position. This position manage the CEO’s schedule, are the point of contact for general communication, and provide travel support. The EA also multiplies CEO productivity by handling business and administrative tasks and improving the timeliness and precision of communication between the CEO and the Team.


Essential Functions/Responsibility

  • Field scheduling requests and arranges events, including travel, according to CEO’s guidance.
  • Ensure parties are prepared for meetings (including development of read ahead materials); ensure meetings start and end on time; take notes for the CEO; maintain backup plans and quickly pivot.
  • Curate, draft, and answer emails and calls on the CEO’s behalf.
  • Regularly travel with the CEO to best provide the support indicated above.
  • Perform additional duties when assigned. No day is likely to be the same as any other.

Basic Knowledge Desired

  • Time management, attention to detail, problem solving, effective verbal and written communication.
  • Discretion, candor, tact, humility, and the abilities to adapt and to work well on a team.
  • Proficiency in Microsoft Office Suite (Outlook, Teams, Word, PowerPoint) and Webex.

Physical Demands

  • While performing the duties of this job, the employee is regularly required to use hands and arms to finger, handle, feel, reach, or operate objects, tools, or controls.
  • The employee is frequently required to stand, walk, climb, balance, stoop, kneel, crouch, crawl, talk, hear, and is occasionally required to sit.
  • The employee must frequently lift and/or carry up to 25 pounds and occasionally lift and/or move up to 50 pounds. Anything heavier than 50 pounds will require two people to lift / carry.
  • Specific vision abilities required by this job including close vision, distance vision, peripheral vision, depth perception, and the ability to distinguish individual colors.

Working Environment

  • Usually a typical indoor office, with travel and work in transit, and long and unusual hours.
  • Periodically an indoor/outdoor production facility, or an outdoor environment in harsh weather conditions, with a variety of personal protective equipment required in either case.
  • The employee will maintain an excellent professional image and demeanor, representing Nomad and the CEO both internally and externally.
  • Because of the demands of the position, and to “seed” the company with this exceptional professional experience, the employee should plan to hold the EA position for one or two years and then move into a role consistent with their career goals in one of the Nomad divisions.
  • All Team Members must wear provided OSHA approved eye protection at all times in manufacturing areas. The employee will be required to wear provided safety eyewear throughout the performance of their duties.

Qualifications & Experience Desired

  • High school graduate GED required with Bachelor’s degree strongly desired.
  • Experience with the operations of an executive staff or the management of any core business function.
  • Exposure to business development or sales and Customer Relationship Management systems.
  • An equivalent combination of education and experience which provides proficiency in the areas of responsibility listed may be substituted for the above requirements.
