POSITION SUMMARY:


The Executive Assistant will provide high-level administrative and project support TO THE Chief Executive Officer (CEO) with a focus on increasing the CEO's efficiency for executive level functions. They will also serve as the primary liaison with the ANHC Board of Directors, and coordinate all work associated with the board. Keeps official organization records and executes administrative policies in collaboration with other Senior Leadership. Coordinates meetings, agendas, and compiles minutes for various committees. The ideal skills for this role include having a proactive mindset, anticipating the needs others, strong attention to detail, critical thinking, solid verbal and written communication skills, excellent organizational skills and the ability to maintain a high level of confidentiality.

ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Provides comprehensive administrative and project support TO THE Chief Executive Officer and other Senior Leadership as necessary and as assigned. The Executive Assistant will be skilled in handling customer concerns and communicating to outside agencies, internal/external customers, and the general public.
  • Handles details of a confident nature and performs administrative functions based on understanding of the company policy and executive’s views and philosophy.
  • Acts as the liaison for the Board of Directors. Monthly duties will include the preparation of the board packet, notices, meeting reminders, minutes and resolutions, as well as scheduling, notification and coordination of Board activities. Works with the Board Chair and other board officers in board related matters. Compiles the orientation packets and assists with the orientation for new board members. Maintains all documents related TO THE Board and its official actions.
  • Maintains the Administration filing system keeping all correspondence, grants, reports, contracts, agreements, and other official documents in an organized manner. Annually reviews all contracts for renewal and coordinates with the responsible owner for any necessary changes to ensure contracts are current.
  • Coordinates high level projects, travel arrangements, and meetings. Ensures that all required paperwork is properly filled out and orients new employees and board members TO THE Travel Policy and Procedure.
  • Maintains Board and Committee rosters, meeting attendance, and ensures meeting details are regularly updated in Microsoft Outlook.
  • Communicates professionally, proactively, and positively with staff, Board of Directors, and the public.
  • Post and distribute mail.
  • Perform other duties as assigned.

SUPPORTING DUTIES AND RESPONSIBILITIES:


  • May serve on organization related committees
  • Assist in gathering information, compiling data, developing reports and special projects

QUALIFICATIONS:


To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

Work Experience: Minimum of five years’ experience required managing office administrative functions, projects, and direct support of executive level management.

Education, Certification and Licensure: High school graduate or equivalent required. Bachelor’s Degree preferred.

Additional Skills & Knowledge: Bilingual preferred.

While performing the duties of this job, the employee is regularly required to sit and talk or hear. Must be able to write and type. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, computer equipment, telephone and other office equipment.

Work is performed in a healthcare clinic and office setting. ANHC is a tobacco-free campus.
