Job description

The Position:

Chabad Lubavitch Media Center (CLMC)/Chabad.org seeks an organized and motivated individual with outstanding administrative and communication skills to provide logistical and operational support to the executive director of this faith-based nonprofit organization. This role is based in Stamford, CT.

The ideal candidate will be collaborative by nature, comfortable working in a creative environment, attentive to detail, and highly organized. They will possess strong interpersonal skills, excellent judgment, and strong written (and oral) communication abilities. This individual will need to be able to seamlessly adjust priorities in a fast-paced and dynamic setting and work on multiple tasks simultaneously.

The Organization:

The Chabad-Lubavitch movement aims to identify and nurture the latent good inside every human being and encourage them to realize their unique potential to transform the world into a place of goodness and holiness. CLMC/Chabad.org is the movement’s largest educational outreach operation and works closely with the mass mainstream media and global thought leaders; and disseminates directly via its own media platforms. The largest of these platforms, the Chabad.org website, is the world’s #1 go-to resource for information about Judaism and for guidance to lead a meaningful life, serving more than 50 million people annually.

The Chabad Lubavitch Media Center is administered by an executive director, who is also a rabbi. The Executive Assistant to the CEO will report to the Executive Director and work closely with the members of the senior administrative team.

Key Responsibilities:

  • Support and communicate effectively with a busy Executive Director who has numerous internal and external responsibilities and whose team is off-site.
  • Learn and uphold organizational goals and guidelines; learn and enforce priorities of the Executive Director; and plan, prioritize, and balance workload accordingly.
  • Meet established timelines and due dates; define, anticipate, and solve challenges, guided by organizational guidelines and principles of logical thinking; and carry out sensitive assignments or special projects with discretion.
  • Operate with minimal supervision; apply discretion to determine when to seek the advice or counsel of the Executive Director, when to collaborate with other execs, and when to act independently; maintain confidentiality of sensitive information or issues.
  • Along with the Executive Director, manage and nurture relationships with a variety of managers, employees, collaborators/partners, beneficiaries/users, journalists, academics, thought leaders, potential or existing donors, family members, and nationally- or internationally-based oversight boards, advisers, colleagues, or dignitaries.
  • Draft or manage/oversee the drafting of the Executive Director’s outgoing correspondence, reports, policy statements, articles, and other materials.
  • Facilitate, prioritize, and (sensitively) manage editorial and other timely information flow from senior administrators to the Executive Director (and back). Draft and/or manage initial edits and responses for the Executive Director’s review.
  • Proofread and copy-edit all the above before sign-off and dissemination.
  • Create or manage the creation of PowerPoint and other visual presentations to internal and external audiences.
  • Oversee/manage the Executive Director's complex calendar.
  • Prepare all materials for meetings and coordinate travel arrangements for the Executive Director.
  • Effectively work with and manage various databases, overseeing both current and historic records.

Qualifications:

  • Proven experience working in a professional setting among C-level executives.
  • Strong writing skills, with editing capabilities as a plus.
  • Ability to break down complex information and provide clarity.
  • Experience with media relations, public relations and some basic knowledge of fundraising techniques preferred but not required.
  • A self-starting approach and ability to work independently, along with the flexibility to adjust and adapt within an ever-changing and complex work environment.
  • Strong organizational skills, attention to detail and accuracy, and proven ability to manage multiple projects and competing priorities while delivering high-quality work.
  • Ability to break down and apply broad goals into manageable tasks and plans.
  • Excellent interpersonal skills with a demonstrated ability to work well with people, appreciate others’ efforts and be patient and willing to show respect for individuals and new or differing ideas or points of view.
  • Exhibits a strong sense of personal integrity, a dedicated work ethic, an intuitive and perceptive nature, and a notable ability to maintain confidentiality.

Job Type: Full-time

Pay: $55,000.00 - $130,000.00 per year
