JOB PURPOSE AND REPORTING STRUCTURE: Under the direction of the CEO, the Executive Assistant provides primary administrative support to the CEO, and secondarily provides administrative support to the Leadership team. The Executive Assistant oversees and coordinates administrative services, processing of grant reports, maintains records and prepares routine reports and correspondence.

EDUCATION and/or EXPERIENCE: Requires an Associate's Degree and minimum of five years of related experience; or equivalent combination of education and experience.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text, data and graphics.
- Conserves CEO's time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information and initiating telecommunications.
- Maintains CEO's appointment schedule by planning and scheduling meetings, conferences, teleconferences and travel.
- Maintains Board schedule by planning and scheduling meetings, conferences, teleconferences and travel.
- Supervises the Administrative Assistant.
- Welcomes guests by greeting them, in person and/or on the telephone; answering or directing inquiries.
- Maintains and protects client and organization confidence.
- Prepares reports by collecting and analyzing information.
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks and participating in professional functions.
- Contributes to team effort by accomplishing related results as needed.
- Develop and maintain data processing procedures related to administrative services.
- Provide administrative support for grant applications.
- Negotiate and manage office equipment contracts.
- Provide support services to maintain corporate files, Administrative Policies and Procedures.
- Maintain files, minutes and correspondence for the Board of Directors.
- Follow and comply with all safety and work rules and regulations. Maintain departmental housekeeping standards.
