Job Description
GENERAL OVERVIEW OF KEY ROLES & RESPONSIBILITIES:
The Executive Assistant will perform a full range of administrative and office management responsibilities as they relate to the work assigned by the Chief Financial officer.
ESSENTIAL & CORE FUNCTIONS:
- Orders and coordinates the purchasing of office supplies
- Maintains files including filing and the retrieval of hard copy and computer files.
- Prepares and updates weekly and monthly calendar for the Chief Financial Officer.
- Tracks program compliance with reporting requirements.
- Schedules meetings and documents meeting minutes.
- Prepares and disseminates agenda information to members prior to scheduled meetings.
- Maintains confidentiality and file safety
- Prepares monthly status reports by compiling data from logs, files, and other resources.
- Establishes and maintains official documents and records in appropriate files.
- Logs in and out all recommendation for hire forms and employee requisition forms.
- Verifies the accuracy of the contractor’s invoices and other payroll spreadsheets.
- Distributes monthly profit and loss reports to department heads.
- Assist with report preparation process.
PREREQUISITES & QUALIFICATIONS FOR THE POSITION:
1. High school or equivalent or associate degree (Preferred)
2. Administrative or office management: 5 years (Preferred)
3. Valid FBI clearance, criminal history check and child abuse history clearance required.
