Job Description
Lycoming College is hiring an Executive Assistant & Special Events Manager to join our Advancement team! This position is the primary administrative support for the Executive Vice President and is a member of the support staff team for the offices of Advancement and Marketing & Communications. The Executive Assistant works closely with other administrative offices, including the President’s office, to support institutional events, programs and activities related to external relations.

What will I do in this role?
- Assists the Executive Vice President with all aspects of advancement, marketing & communications, enrollment, government relations, community relations and special projects.
- Responsible for general office management and coordination of the Executive Vice President’s meetings, calendar, travel, and interactions / support with other senior staff offices and administrative assistants.
- Response for planning all staff meetings, individual meetings, government and community meetings including agenda, minutes, and follow-up.
- Coordinates meetings, campus events and/or presidential event activities including room reservations and set-up, technology needs, equipment, building and grounds requests, security requests and food service needs. Specific activities include Commencement weekend, Board of Trustee meetings, Homecoming, President’s box (athletic events), Christmas Candlelight, President’s Annual Dinner and community meetings with external stakeholders.
- Prepares letters and responses from the Office of the Executive President related to institutional correspondence, routine inquires, and formal communications.
- Prepares all travel support for the Executive Vice President to including making calls to donors, scheduling appointments, travel arrangements/accommodations and meeting reservations, often including the President’s travel arrangements when the travel is jointly; entering actions into Raisers Edge, uploading Outlook to reflect travel, creating itineraries and preparing draft contact report.
- Provides programmatic and administrative support to the marketing & communications office, especially the Assistant Vice President for Marketing & Communications to help with departmental meetings, website updates, activities related to photo and video shoots, and general program activities.
- Preparing reports, memos, letters, financial statements, and other documents using Word, Excel, Raisers Edge and/or PowerPoint.
- Responsible for budgetary items such as reconciling and managing P-Cards.
What are we looking for?
- High School diploma required.
- 5-7 years of administrative support in an executive setting preferred.
- Training in an office management related field required.
- Strong communication skills both written and verbal.
- Attention to detail and organizational skills is a must.
- Good time management and customer service skills are necessary.
- Requires working occasional weekends and evenings.
