Based in the Toronto head office, the successful candidate will be responsible for executive support and assistance.
Responsibilities:
- Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
- Manages Executive calendar(s) by determining priorities and urgent situations, scheduling meetings, and making changes and adjustments as required.
- Organizes domestic and international travel arrangements, prepares detailed travel itineraries and management of check-ins, as well as all flight, hotel, and car service bookings in advance of travel.
- Identifies emerging issues, determines their urgency/priority, and compiles background information for timely and appropriate decisions and/or action.
- Supports Executive(s) in handling email and maintains a priority list of to do and follow-up actions.
- Prepares and drafts reports.
- Manages and Coordinates the Appropriation Requisition approval process for capital expenditure to ensure the documents are fully completed by the Executives.
- Aware of the Executive's strategic goals and objectives and supports advancement and delivery through forward planning and time management.
- Provides support, planning and liaison with the operations for mine site visits.
- Completes and processes expense reports.
- Fluidly adapts to changing environments and requirements (i.e., sudden meeting changes or travel requirements).
- Maintains strict confidentiality with sensitive information, financial documents, and personal matters.
- Provides personal support to the Executives as required.
- Willing to be available after normal working hours and on the weekend for emergencies
Qualifications:
- Proven experience of 2 years or more in a support role in a fast-paced work environment with a complex organization structure.
- High level of proficiency with core Microsoft Office applications, including Outlook, Word, Excel, Adobe Pro, SharePoint, and MS Teams.
- Excellent English language skills (written and verbal). The ability to speak, read and/or write Spanish would be an asset.
- Sophisticated professional interpersonal skills and ability to interact with various executive levels internally and externally.
- Ability to think critically, solve problems and make decisions independently under high pressure and demanding timelines.
- Highly service-oriented individual with the ability to demonstrate tact, discretion, confidentiality, diplomacy, high energy, trustworthiness, and a sense of humor.
- Conscientious self-starter who enjoys working in a team environment, needs minimal supervision and can prioritize workload under pressure.
- Strong organization skills and attention to detail.
- Flexible and thrives in a fast-paced environment.
