Position Overview:

 

The Executive Administrator position enables a motivated professional to contribute to the efficient running of Mercury’s two divisions supporting their respective presidents. In this position an organized and talented Executive Administrator can demonstrate their skills and capabilities while learning and developing in the role. The person filling this role will utilize communication skills (written and oral) that supports the level and requirements of the office he/ she supports. Additionally, the selected candidate will utilize their computer skills (MS Office suite including MS Teams) to generate work product in the most efficient and effective way with the highest level of quality. The selected candidate will develop a network inside of the organization that will ensure work assignments are shared with the appropriate parts of the Company, treating information as sensitive and confidential.

 

Responsibilities:

  • Supports the Presidents of the Microelectronics and Mission Systems divisions based in Huntsville, AL
  • Maintains Senior Executive’s complex calendars, schedules and domestic and international travel arrangements to ensure minimal conflicts.
  • Maintains strict confidentiality as this role will be involved in dialog and oversee creation and review of material that is highly sensitive
  • Involved in scheduling and organizing division-wide communications and related materials and MS Team sites
  • Manages facilities and equipment to troubleshoot and problem solve for staff in various aspects (office equipment, building management issues).
  • Orders and maintains office supplies and inventory for the department and creates purchase orders, process invoices and acts as the liaison between the company and vendor.
  • Prepares expense reports and ensures reports are submitted timely and accurately.
  • Provides general office orientation for new staff members to ensure proper introductions are met.
  • Observes time sensitive and confidential materials and creates and prepares correspondence to ensure timely production of memos, letters, emails and presentations while following company and departmental policies and procedures.
  • Reserves conference rooms and makes any other arrangements for the specified meeting and to ensure Senior Executives are prepared with the necessary materials for meetings.
  • Sets up and organizes paper and electronic filing systems to ensure company compliance. 


Education: Bachelor's Degree preferred (HS Diploma acceptable with experience)

Work Experience: 7+ years’ experience. Must have experience utilizing the standard suite of MS Office tools including Microsoft Teams and sufficient computer skills to learn and utilize new tools
