Thermo Fisher Scientific is seeking a passionate and meticulous individual to join our team as an Events & Training Coordinator. This dynamic role will be pivotal in ensuring the seamless coordination and execution of various events, from new hire training classes to large-scale town hall sessions and trade shows. Responsibilities:
- Coordinate New Hire Training Classes - develop agendas, travel arrangements, preparations, meals, lodging, and materials for new hire training classes. Organize special events and facilities to enhance the overall training experience.
- Coordinate Quarterly Town Hall Sessions - manage virtual and in-person Quarterly Town Hall sessions, including presentations, speakers, and agendas.
- Coordinate Leadership Team Meetings - handle logistics for USLT Meetings in Kalamazoo or offsite, ensuring smooth coordination of agendas, travel, preparations, meals, lodging, special events, materials, and facilities. Coordinate logistics for Frontline Leader meetings, whether virtual or in-person.
- Support IDD US Trade Shows - responsible for logistics and materials for all IDD US trade shows, including clinical and national events.
- Home Office Event Planning and Execution - coordinate VIP site visits to Kalamazoo, ensuring a high level of hospitality. Plan and lead various events, including employee family picnics, employee holiday parties, and other smaller events as needed. Co-run EAC meetings, prepare agendas, and communicate updates to the team. Collaborate with the field EAC team for jointly planned events.
- Communication and Documentation - communicate effectively through various platforms for event announcements and follow-ups. Manage the leadership/training events calendar and collaborate with internal teams to meet budget requirements.
- Miscellaneous Support - troubleshoot technical issues during events and provide support to participants. Manage user groups in learning management systems, file training records, and follow up with learners and their managers. Support the US marketing team with communications and content development as needed.
- Feedback and Improvement - gather feedback from training sessions and events, incorporating changes to enhance future experiences. Develop surveys, review incoming feedback, training requests, and ensure timely responses. Analyze assessment results and prepare charts for reporting findings.
Required Qualifications:
- High School Diploma or GED is required.
- 1 – 2 years’ experience in relevant field.
Preferred Qualifications:
- Dynamic personality with a passion for event planning and people.
- Exceptional organizational and time-management skills.
- Strong communication skills, both verbal and written.
- Ability to thrive in a fast-paced and constantly evolving environment.
- Customer & partner focused approach.
- Previous experience in events, travel, or similar environment preferred.
- Ability to manage budgetary needs for all events to ensure they stay within budget requirements.
- Ability to navigate and learn different platforms.
- Proven track record to create and communicate ideas and vision for various events.
- Adhere to OHS policies and procedures and ensure a safe and healthy workplace environment
