What you’ll do:
The Events Manager's role encompasses supporting the planning, and execution of national/regional customer-facing events, exhibits, sponsorships, and conferences. In this capacity, the Events Manager will network effectively with both internal and external teams to successfully execute programs that align with established strategic objectives, timelines, and goals. Additionally, the Events Manager will assist in the development and monitoring of the budget for specific events. The Events Manager will also participate in the monitoring of the overall outcomes of event and sponsorship participation. The Events Manager will be responsible for solving complex problems that may arise in the planning process. The Events manager will create digital sample experiences for HMH/Heinemann/NWEA Solutions in the HMH CMS utilizing the approved template. The Events Manager will serve as a resource for junior team members.
Working in Events and Samples Team, the Events Manager will be responsible for the following primary duties:
- Collaborate with internal stakeholders to execute comprehensive event strategies, and coordinate staffing and financial resources to meet established strategic objectives and goals.
- Independently manages assigned aspects of select conferences, exhibits, and events, overseeing logistics such as budget monitoring, audiovisual needs, food & beverage coordination, signage, collateral materials, exhibit hall setup, booth design, event-specific communications, registration and accommodations.
- Coordinate show services by collaborating with multiple external vendors and contractors to ensure the successful execution of conferences, events, exhibits, and sponsorships.
- Assist with the creation and oversight of conference and event registration site(s) via Cvent and provide regular reports on registration numbers.
- Manage the overall customer and client experience, focusing on enhancing satisfaction and engagement
- Applies best practice industry knowledge to problem-solve effectively.
- Monitor event and sponsorship progress and provide timely updates to key stakeholders.
- Builds productive internal and external working relationships with all levels of the organization to execute mutually agreed upon goals.
- Schedule, train, and direct on-site staff for complex conferences and events to ensure smooth execution.
- Gather information on potential site selection and meeting locations.
- Host post-event debriefs to gather insights and identify areas for improvement.
- Monitor sponsorship contracts to effectively leverage inclusions and fulfill deliverables.
- Responsible for keeping event, exhibit, and sponsorship information up-to-date utilizing various departmental systems and software (Salesforce, Box, Workfront, Welcome, Marketo, Integrate, etc.)
- Maintain physical components and materials stored in home office and third-party vendors and coordinate shipping as needed.
- Assist in the creation of digital sampling sites utilizing the Content Management System (CMS) and FlipHTML.
What you’ll need:
- Minimum 4-6 year(s) of experience in marketing, hospitality or event management or a relatable field.
- Technical: Cvent suite, Salesforce, SharePoint
- Experience in managing events.
- Ability and willingness to travel up to 20 % of the time and work long hours, including evenings and weekends.
- People skills needed to lead cross-functional teams of product marketers, partner support, sales, and logistics staff.
- Incredible attention to detail.
- Ability to multi-task and manage multiple projects at a time.
- Excellent written and verbal skills.
Preferred but not necessary: skills/education/experience/working knowledge.
- Bachelor’s Degree or an equivalent.
- Experience working in the hotel industry, helpful.
- CMP.
