Work Schedule: Monday-Friday, 8am-5pm
SUMMARY
The Event Scheduler is a position within the Event Services department which is part of Campus Services within the Division of Research and Administration Facilities. The position is responsible for ensuring the highest standards of service to clients while maintaining operations efficiency, intradepartmental communications and a cohesive relationship with other departments. This position directly handles all aspects of event scheduling and coordination efforts occurring throughout MD Anderson's extended campus.
JOB SPECIFIC COMPETENCIES
Resource and Event Space Knowledge Learn and remain current on new technology and equipment. Routinely review, cross train and maintain an adequate knowledge of all Event Operations event spaces, audio visual equipment and set up limitations, seating capacities, Life Safety and ADA requirements. Stays current with content, video and audio capture as new technologies emerge to keep in pace with the needs of our Faculty and personnel change. Current examples include but not limited to; Camtasia, Lync, Webex, Skype and other similar media. Coordinates with Desktop Support, Network Engineering, IT/IS, and CEMS to educate self, Event Planning staff and in turn faculty and staff on use of these platforms. Ensures adherence to operational standards established for events at MD Anderson's extended campus.
Communication Maintains exceptional communication skills throughout all functions of client interaction, inter/intra departmental managers and fellow employees. Consults with faculty and staff on appropriate use and scheduling of event spaces. Coordinates with Supervisor and Manager to resolve issues arising from MD Anderson department, Faculty and Senior Leadership use of Event Services event space and resources. Maintains confidentiality of proprietary information by all Event Services personnel.
Daily Operations Schedule all aspects of institutional events with a working knowledge within the Event Management System functions and diagrams, in addition to various forms of written and oral specifications. Ensures Life Safety standards and ADA guidelines are followed. Works to maintain adequate telephone, email and Event Management System coverage to handle daily Event Service department requirements. Utilizes Event Management System to ensure timely, accurate and detailed client communications. Ensures last minute request information is passed along to the Event Operations personnel in an expedient and timely manner. Operates and maintains the ARS (Audience Response System) event tool through use of "clickers" and PC connectivity. Coordinates with clients on setting up and establishing Power Point Presentations. Provides follow up documentation utilizing Excel.

High school diploma or equivalent. Two years database experience.
