Job description

UpSlope Advisors is seeking an experienced and qualified Event Production partner with demonstrated experience producing highly visible national events who can lead the creative, logistical, and operational execution of a highly visible multi-day event called the "American Innovation and Jobs Summit" in early March 2024. This event is designed to premiere the newly-designated NSF Regional Innovation Engines (NSF Engines), connect the people and organizations driving America’s national place-based innovation efforts with resources and a strong community of practice, advance a broad set of ideas about NSF’s approach to investing in American innovation, and promote the NSF Engines programmatic vision and goals to a national set of stakeholders.


Note: this is a hybrid position with the event planning portion done remotely. In person coverage of the event is required and will take place in Washington DC or St. Louis.


The Event Production partner will be responsible for the entire field of production activities related to successfully hosting a highly visible national event, including:


  • Branding and event experience design, including the development and production of any branded physical environments and set design as well as other print (e.g. directional signage, banners, etc) and digital creative assets related to the event;
  • Design and set up of freestanding video installation and audio system for presentations, including video equipment, playback servers, cabling, etc.;
  • Event logistical planning and timeline development, including assigning/delegating tasks to subcontractors and (where necessary) NSF as necessary for the event execution;
  • Event master budgets, expenses, and timelines, including ensuring production costs are within budget;
  • Production management staff necessary to lead project development and management of on-site installation and (including load-in/load-out);
  • Venue and hotel contract management, including blocking hotel room holds;
  • Day-of coordination, including managing pre-event and on-site registration;
  • Negotiations and relationship management with any required subcontractors, including but not limited to all audio/visual, security, food and beverage, and personnel/staffing vendors;
  • Technology and technical support, including on-site wireless access and infrastructure development to support live-streaming as appropriate; and
  • Any and all tasks necessary to ensure a successful event.

Requirements

  • Bachelor’s Degree or Minimum of 3 years’ experience with meeting/event planning
  • Project and time management skills
  • Experience with managing in person & virtual meetings and events in a professional services / corporate environment
  • Experience managing event budgets and timelines
  • Ability to be both internal and client facing
  • Proficient in Microsoft Outlook, Word, Excel, Teams, Adobe PDF, Zoom
  • Ability to work on multiple concurrent projects
  • Adaptable and customer service oriented
  • Good communications skills both verbal and written
  • CMP or CMM certification is preferred
