Position Summary:
IHCC seeks an enthusiastic and collaborative communicator who will provide event management support to the Director of Events. The EM will be responsible for managing event logistics and operations, providing exceptional Member customer service, and co-leading the events team. The Events Manager is instrumental in driving the success of our business. The Event Manager will report directly to the Director of Events.
Essential Functions:
- Contributing to the establishment, promotion, and protection of the Indian Hills Country Club brand through high quality events.
- Must be able to multitask with the highest regard; manages multiple group events at various stages of the planning process concurrently, often bouncing between events to ensure member and guest satisfaction.
- Develop and maintain professional relationships with Members and existing clients in order to produce meetings and events, to include room sales, food and beverage sales, catering/banquet services.
- Ensure that event specifications are communicated and executed for a successful meeting experience for the event planner and attendees.
- Assists in ensuring all function setups and breakdowns are executed correctly, efficiently, and expeditiously with F&B management and hourly staff members, including being present to greet your client(s).
- Answering incoming phone calls and respond to inquiries as assigned or in absence of Director of Events.
- Make proactive courtesy calls to all events 72 hours in advance to ensure numbers are accurate, changes are accounted for, and those details are reflected in BEO updates to all impacted department heads.
- Makes follow up phone calls on a routine, random, basis to ensure event functioned to the hosts expectations. Any deficiencies are communicated to the Manager of each event and Food & Beverage Director. Asks host to book next function with IHCC where appropriate.
- Review all BEO’s prior to publishing for accuracy and completeness.
- Maintain and review all contracts and event files.
- Design and print menus for plated meals as needed and any other printing necessary to perform the function of hosting a banquet.
- Utilize ReserveCloud software to block space, issue event contracts, correspond with event contacts, and create BEO’s.
- Utilizes ReserveCloud software to schedule and follow up on tasks and contracts as needed
- Ensure all events are blocked correctly in ReserveCloud.
- Utilize Social Tables to create event diagrams.
- Interacts effectively with vendors, competitors, local community, catering associations and other Club departments to ensure guest satisfaction.
- Work a flexible schedule to include days, evenings, weekends and holidays according to Club business demands.
