Summary

The Event Coordinator would be responsible for assisting the Director of Catering in delivering professional standards and quality of service in pre & post event management to the members of the Stock Farm Club. Eagerness to bring in fresh ideas & stay on top of the latest trends within the event industry.

Essential Duties & Responsibilities

  • Assists in leading major events with Director of Catering. Able to direct and manage interns and support staff with set-up & tear down and fluidity of event duration at SFC and other private member events, as assigned by Director of Catering.
  • Assists Director of Catering with correct and complete communication with both members & any outside vendors clearly through multiple platforms.
  • Has a clear understanding of both indoor and outdoor event management
  • Must be actively present at all member events as scheduled by Director of Catering.
  • Works cooperatively with Event Intern(s), Can act as a second event lead on days where there are multiple events on the calendar.
  • Attendance for implementation, management, and breakdown of events as scheduled by the Director of Catering.
  • Helps create and monitor and execute all event billing. Ensuring accuracy in member charges and club revenues, on both the front and back-end billing.
  • Aids with preparation, distribution and revisions of all BEO’s with accurate and detailed information. Helps with maintaining the accuracy of event packets and menus as well as any other event documents.
  • Acts as liaison with Director of Catering, in maintaining communication of event details to department heads, as well as in BEO meetings.
    Assists with organization and maintenance/replacement of event decorations, equipment, & other miscellaneous items within the Catering Department.
  • Maintaining organization of event room, and linen as well as other additional catering equipment.
  • Assists Director of Catering with unique menu designs, linens, floral, and other event details.
  • Assistance with any Food & Beverage outlets that need assistance when needed. Reports all such complaints, comments, or concerns to the Director of Catering.
  • Perform other duties as assigned.

Minimum Education & Experience

  • 2-3 years Catering or Event Experience
  • Knowledge of all aspects of Food & Beverage Operations
  • Organizational Skills and Attention to Detail
  • Cooperative worker & team oriented

Knowledge, Skills & Abilities

  • Ability to communicate effectively orally/verbally with diverse group of individuals and age ranges.
  • Ability to be flexible and adaptable in highly fluid and dynamic environment.
  • Ability to work with a team and interact with others in a professional and courteous manner.
  • Ability to maintain the confidentiality of Stock Farm Club and member and guest information.
  • Ability to maintain professionalism and image of the Stock Farm Club.
  • Preferred: Prior successful employment with the Stock Farm Club in this or a related position.

Additional Requirements & Documentation

  • Must be able to work overtime and holidays as required; must be able to work additional weekday and early morning or evening hours as required.
  • Must be able to work variable schedule to include last-minute scheduling needs/changes and working split shifts.
  • Must be insurable by Club’s auto insurance provider and possess a valid driver’s license.

Environmental & Physical Conditions

General physical activities. Work involves long periods of walking, standing, use of arms and legs, and movement of entire body. Work includes climbing; lifting; balancing; walking; stooping; pulling and pushing; kneeling, stooping, and bending; and safely lifting and carrying items up to 50 pounds. Work involves walking on uneven and slippery surfaces.
