Job Description
The Estimator will assist with the development of all budgets, hard bid estimates, self-perform estimates, bid schedules, and help Project Managers prepare change orders for scopes of work that are outside the management team’s comfort level. The Estimator is also responsible for pre-construction services as outlined by a project’s requirements.
Duties and Responsibilities:
- Establish and maintain an effective working relationships with all employees.
- Bid / Budget Setup:
- Open up bid number and folder on server.
- Obtain RFP drawings and specifications from prospective clients and place on server and FTP site.
- Print out drawings as required.
- Prepare bidders list and scopes of work for self-perform and subcontractor trade packages.
- Manage the FTP Site and address book.
- Issue invitations to bid via FTP Site within 24 hours of receiving bidding information from clients.
- Set up electronic bid workbook.
- Coordinate/schedule and attend pre-bid meetings with owners and subcontractors.
- Have a thorough and complete understanding of the scope of work, the contract drawings, specifications and addenda.
- Examine the contract drawings, specifications and addenda for design deficiencies, impractical details and constructability issues and to bring these to the attention of senior management.
- Review owners requested schedule and clarify contract duration.
- Bid Period:
- Coordinate subcontractor phone calls with Project Administrator.
- Answer subcontractor requests for information (RFI’s)
- Issue RFI’s to the owner/architect and transmit said answers to trade subcontractors.
- Develop a preliminary project schedule based upon the information contained in the bid/budget documents.
- Provide quantity verification and take off of all trade categories from division 1 through division 32.
- Receive, review and analyze subcontractor bids, paying close attention to exclusions.
- Put subcontractor’s bids in electronic bid book.
- Develop a list of clarifications for items that deviate from the contract documents only.
- Identify long lead time items and note in schedule and clarifications.
- Maintain/update subcontractor bid status on company FTP site. (Who’s bidding and who is not bidding and why not.)
- Set up/coordinate a bid review with upper management at least 24 to 36 hours before the bid/budget is due.
- Reviewing project to develop win strategy.
- Request resources/help 48 hours (ASAP) prior to bid due date if there are resource issues.
- Bid Document Preparation:
- Review instructions to bidders and owner bid forms.
- Coordinate with the Project Administrator to confirm methods of bid submission and transportation.
- Prepare all documents required to successfully complete and turn in the bid or budget on time.
- Post Bid:
- Follow up with client to determine status of bid. If unsuccessful, find out how far off the pace company bid was.
- If successful, coordinate and schedule internal handoff meetings.
- General Items:
- Maintain electronic bid calendar.
- Develop rapport with MEPS trade subcontractors.
- Weekly briefing meeting to provide updates/concerns on projects.
- Provide functional support and responsibility for multiple projects and provide managerial responsibility for the Operations Department.
- Coordinate multiple estimates simultaneously as well as review responsibility for multiple estimates or large estimates.
- Establish and maintain estimating department evaluation procedures
- Establish and maintain department resource library.
- Recruit and develop all estimating employees.
- Establish and coordinate bidding schedule.
- Establish and maintain relationships with owners, consultants, subs and suppliers.
- Develop and maintain estimating systems and procedures.
- Establish distinct rate files for labor, equipment and materials.
- Review final cost report with project team and develop for historical information.
- Conduct post-bid review.
- Ensure the development and maintenance of company standards and resources for quantity take off and estimating services.
- Performs other duties as assigned by management.

Education/Experience:
- Bachelor’s degree in civil engineering, construction management, construction science, or architecture and 2+ years related experience. Prior construction estimating experience is preferred.
Language Ability:
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Math Ability:
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability:
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Required Skills:
To perform this job successfully, an employee must be able to read blue prints/ specification and effectively use the following computer programs within a reasonable amount of time:
