Job description

The purpose of this classification is to plan, coordinate and facilitate events and activities for all Forsyth County employees. This position will focus on creating and promoting a positive environment for an engaged workforce that encourages active involvement of all county employees. This position will forge and foster an optimistic atmosphere that affords employees the best opportunity to thrive, grow, develop and contribute to common goals. Positions in this classification also perform other employment service functions as assigned.

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Processes a variety of documentation associated with department/division operations, within designated timeframes and per established procedures; receives, reviews, records, types, and/or distributes documentation; enters data into computer systems; logs, tracks, or maintains records regarding department activities; compiles data for further processing or for use in preparation of department reports; maintains computerized and/or hardcopy records.

Performs office management functions; coordinates daily activities of assigned department/division; monitors status of projects/workflow and troubleshoots problem situations; works to independently resolve problems and initiates appropriate action/response; coordinates communications and conveys information among department/division personnel; coordinates, conducts, or attends staff meetings to review department plans, progress, budgets, and other activities.

Provides administrative support to department/division management staff; relieves management staff of routine administrative tasks; screens calls, mail, and e-mail messages and initiates appropriate action/response; represents management at meetings as assigned.

Processes human resources documentation; coordinates completion of new hire forms by new employees; processes completed documentation to maintain compliance with applicable record retention laws; maintains organization's employee files; serves as onboarding coordinator by facilitating meetings and/or distribution of information as necessary to ensure satisfaction in the new hire experience.

Coordinates Employee Engagement program activities and recognition efforts; including scheduling, surveys, and compiling data for reporting purposes.

Serves as a liaison between County employees and management and leadership as appropriate. First point of contact for employee complaints and issues surrounding the new hire experience. Escalates employee concerns, as needed, to Employee Relations Manager or Employment Services Director.

Develops promotion and publicity plans Employee Engagement and appreciations programs throughout the organization.

Compiles statistical summaries of participant data, and class attendance, to ensure proper detailed program evaluation.

Assists the Employee Relations Manager in the development of budget, policies, and procedures relevant to the operation of the Employee Engagement programs.

Communicates with employees, managers, and department heads of other departments, County officials, insurance carriers, outside agencies, and other individuals as needed to coordinate employee activities, review status of work, exchange information, or resolve problems.

Assists with development and maintenance of information for publication on the County's web sites and Intranet, social media sites, information channels, bulletin boards, or other media as it pertains to internal employee communication needs.

Provides customer service and information to the County workforce regarding Employment Services information and updates under the direction of the Employee Relations Manager and the Employment Services Director: keeps County workforce informed about county programs, services, activities, events and issues as appropriate; responds to inquiries or comments from employees via telephone, e-mail, or mail; answers general questions or refers questions to appropriate individual/department; consults with County Officials and/or Department Heads to review operations/activities, review/resolve problems, receive advice/direction, and provide recommendations relating to the dissemination of information to the employees of Forsyth County.

Assists with the coordination of internal media relations activities for County employees: determines appropriateness and timeliness of information to be released; drafts emails and printed communication for distribution to current employees and new hires; and assists in coordinating media activities during emergency response situations requiring prompt communication to affected Forsyth County workforce.

Assists with development, implementation, and maintenance of strategic plans for internal employee communication and engagement: assists the Employee Relations Manager and the Director of Employment Services in developing, executing and monitoring a consistent/positive communication channel for an informed workforce.

Maintains confidentiality of employee information, HIPAA and other personnel identifiable information, departmental issues and documentation as necessary.

Prepares or completes various forms, work orders, reports, correspondence, logs, client files, referral forms, emergency data cards, service provider forms, calendars, employee sign-in sheets, order forms, maintenance request forms, check requests, or other documents.

Receives various forms, reports, correspondence, payments/donations, maps, medical resources, policies, procedures, manuals, directories, reference materials, or other documentation; reviews, completes, processes, forwards or retains as appropriate.

Operates a computer to enter, retrieve, review, or modify data; verifies accuracy of entered data and makes corrections; utilizes word processing, database, or other computer programs.

Monitors inventory of office equipment, forms, and supplies; ensures availability of adequate materials to conduct work activities; initiates orders for new/replacement materials.

Attends meetings and makes presentations as needed.

Maintains a comprehensive, current knowledge of applicable laws/regulations; maintains an awareness of new trends and advances in the profession; reads professional literature; maintains professional affiliations; attends workshops and training sessions as appropriate.

ADDITIONAL FUNCTIONS

Performs general/clerical tasks, which may include answering telephone calls, making copies, sending/receiving faxes, filing documentation, or processing incoming/outgoing mail.

Performs other related duties as required.

A Bachelor's degree in Business Administration, Human Resources, Marketing, Communications, or a related field from an accredited college or university preferred, supplemented by three (3) years previous experience in creative design, planning, executing and analyzing programs and events. Knowledge of Human Resources policy, regulations, and administration preferred and/or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
