POSITION SUMMARY

The Editorial Assistant is a key member of the production team and assists coworkers during the editorial and design/production phases of book publication. For editorial, they assist the Editorial Coordinator with manuscript corrections, edit and proof press publications, submit copyright applications, and process inbound and outbound permissions requests. For design/production, they review page proofs at various stages in production and ensure books adhere to seasonal deadlines, inspect author corrections, edit and format indexes, and process ebooks during the final stages of the publication process. Together these tasks work to maintain the quality of the press's publications; protect the organization's image with authors, readers, and industry partners; and ensure conformity with legal requirements with every new publication.


RESPONSIBILITIES

Design and Production Department Function:

  • Act as liaison between editorial, authors, and design/production.
  • Review page proofs for typographical errors and fidelity to manuscript and to house style.
  • Review, clarify, and relay author corrections of page proofs for compositor implementation.
  • Proofread dust jackets, ad copy, and seasonal catalog copy.
  • Communicate production schedules, deadlines, and workflow updates to authors and ensure authors meet deadlines imposed by the press.
  • Process ebooks and ensure metadata feeds are complete and accurate.

Editorial Department Function:

  • Assist Editorial Coordinator with manuscript prep, corrections, and transmittal.
  • Ensure manuscripts adhere to the press's and/or disciplinary style guides, such as Chicago, MLA, and others.
  • Process copyright applications for new titles.
  • Collaborate with authors to secure permissions for inclusion of copyrighted material in forthcoming books.
  • Monitor available funds in Library of Congress account.
  • Distribute complimentary copies and author copies of newly published books.
  • Update in-house library with new titles.
  • Manage incoming permissions requests from outside publishers and authors.
  • Consult and update title management database.

QUALIFICATIONS:

Required

  • High school diploma or GED
  • Highly organized and possess the ability to communicate with professionalism.
  • Detail oriented and ability to concentrate on tasks for an extended period of time.
  • Ability to meet deadlines.
  • Ability to process and prioritize frequent messages and requests from a variety of interested parties.
  • Working knowledge of Microsoft Office, specifically Word, and Adobe.
  • Experience in editing/proofreading materials

Preferred

  • Bachelor’s Degree
  • Proficiency in Microsoft Office and Adobe Suites.
  • Prior professional experience in an office setting.
  • Experience with copyediting.
  • Familiarity with print and digital publications and their processes.
