JOB SUMMARY:
The Durable Medical Equipment (DME) Coordinator functions as the lead by performing day-to-day functions related to the management of the facility's DME. They will be responsible for all matters related to and concerning DME within the clinic. Including, but not limited to, fitting, refitting, custom measurement, patient education, prior authorization, collection of co-insurance/deductibles, and patient satisfaction. Acts as a liaison between the staff, physicians, and leadership. As well as, coordinate the operation of the Durable Medical Equipment (DME) services by planning and directing activities to provide quality patient services meeting Atrium Health's standards of quality and efficiency.
EDUCATION/EXPERIENCE:
- An associate degree (bachelor's degrees preferred) and 2-3 years related experience with Durable Medical Equipment billing, athletic training or orthotic fitting.
LICENSURE, CERTIFICATION, and/or REGISTRATION:
- Certified Athletic Trainer; Orthotic Fitter Certification preferred, but not required.
ESSENTIAL FUNCTIONS:
- Manages the Epic and DME software for day-to-day operations.
- Ability to work with Coding and Billing Specialists on claims and denials
- Communicates all equipment shortages/issues with Clinic Manager and/or Team Lead, and Vendor(s).
- Ensure all necessary documentation and authorization are obtained as it relates to payer requirements
- Tracks and ensure all issues are resolved with vendors with DME
- Manages, inventories, and audits par levels on DME based on clinic volume at multiple locations
- Educate patients on insurance plans and provisions, financial responsibility, and collection of patient portions.
- Ensure compliance is maintained by documenting custom measurements, ABNs, and FRNs as needed.
- Provide fitting, patient education on application, use, care, and expected outcome for products as indicated by the physician's instructions and manufacturer recommendations as needed
- Actively promote and foster excellent relations inter-departmentally and with external vendors, payers, suppliers, physician clinical staff, and surgery personnel
SKILLS/QUALIFICATIONS:
- Excellent oral and written communication skills
Strong interpersonal skills - One to three years of experience as a DME coordinator or Athletic Trainer, preferably in a medical practice environment
- Knowledge of DME CPT coding and billing.
- Knowledge of DME bracing and function of units.
- Skill in fitting patients properly and educating/teaching patients as to appropriate usage of equipment.
- Skill in following infection control and OSHA safety procedures
- Ability to create, understand and modify financial and inventory reports.
- Ability to understand DME billing, insurance benefits, and procedures and assist in claims resolution.
- Ability to apply written instructions and standardized work practices
- Ability to communicate effectively both orally and written.
- Willing to travel to multiple locations
- Ability to show respect and sensitivity to cultural differences
