POSITION SUMMARY

The Rhoads’ DOD Ops Project Coordinator is responsible for supporting Rhoads’ DOD Business Line in the successful execution of projects awarded by the Department of Defense and other DOD prime contractors. The Project Coordinator increases project efficiency by providing coordinating all internal and external project requirements, including bids, project changes, CDRL’s, invoicing, and customer payments.

 

DUTIES AND RESPONSIBILITIES

· Support communications with customer representatives and distribute COR and other customer emails.

· Coordinate RFP’s for Fixed Fee, Time Material and Cost Plus Fixed Fees as they are received

· Receive and distribute awards and modifications to existing contracts, including updating budget and contract amounts in Dynamics.

· Create and maintain projects in Dynamics including billable rates, open tasks, approved funding, and PoP information

· Enter and/or distribute labor hours for assigned foreman groups and confirm all time for your assigned group is entered and distributed each week.

· Regularly review project funding levels and notified PM and COR at contract defined intervals.

· Preparation and distribution of weekly and monthly project reporting requirements as assigned

· Prepare monthly billing for assigned contracts and enter to both Dynamics and government billing site.

· Keep track of and follow up on all outstanding DOD invoices, and inform Rhoads Finance department of AR status and payment expectations

· Notify Finance department of incoming payments and provide payment application information

· Create and run reports as needed for Project Managers.

· Regularly review Dynamics revenue, WIP, and billing data for erroneous transactions.

· Make WIP adjustments for projects that are 100% billed or as directed by Finance/PM.

· Perform project close out tasks

· Keep updated records and create reports, proposals, and other documents as needed.

· Assist with project audits as needed

· Ensure proper adherence to compliance policies and procedures.

 

EDUCATION:

· Required: Associates degree

· Preferred: Bachelor’s Degree

 

QUALIFICATIONS:

o Bachelor’s Degree or 3+ years experience

o Proficient in Microsoft Outlook, Word, and Power Point

o Advanced Excel experience including pivot tables, V-lookups and data formatting

o Proven Data querying skills including editing of formulas and data criteria

o Ability to work alone on large scale data projects and document the process

o Ability to communicate requirements in an industrial environment, and to give effective direction by using written and/or verbal skills where appropriate.

o Mature Customer Service and Client Communications skills.

PHYSICAL DEMANDS:

· Must be able to work in a variety of physical positions, including sitting, standing, walking, and driving in an automobile

· May require walking and standing on irregular, uneven surfaces in an industrial setting and possibly at increased heights climbing and descending ladders and ship stairways.

· The performance of this position involves exposure to construction or industrial areas where the use of personal protective equipment such as safety glasses, hard hats and hearing protection is required.
