Overview:
We are seeking a detail-oriented and organized Document Specialist to join our team. As a Document Specialist, you will be responsible for managing and maintaining various documents and records within our organization. This is a crucial role that requires strong computer skills, clerical abilities, and attention to detail.
Responsibilities:
- Ensure client files are organized and meet state and national accreditation standards.
- Manage the agency’s document organization systems, digital and physical.
- Maintain records of client communications.
- Complete Forms I-600a/I-800a, I-600/I-800, I-864/ I-864a/ I-864w on behalf of the client.
- File client applications and documentation with US Customs and Immigration Services, US Department of State, and various foreign agencies.
- Review client files for completion and accuracy.
- Must be available to provide support service during re-licensing and re-accreditation.
- Others as assigned.
- Ensure accuracy, completeness, and proper filing of documents
- Perform data entry tasks to update and input information into computerized systems
- Transcribe information from various sources accurately
- Assist with order entry and data collection as needed
- Generate reports and perform basic data analysis using Excel, including pivot tables
- Collaborate with team members to ensure efficient document management processes
- Follow established procedures and guidelines for document handling and storage
- Maintain confidentiality of sensitive information
Experience:
- Previous experience in a similar role preferred but not required
- Proficient in computerized systems and software applications
- Strong clerical skills with the ability to organize and prioritize tasks effectively
- Excellent attention to detail and accuracy in data entry and document management
- Basic math skills for data analysis purposes
- Familiarity with pivot tables in Excel is a plus
- Ability to work independently as well as collaboratively in a team environment

- Professional written and spoken communication with the team, clients, and partners.
- Teamwork. The Document Specialist will work closely with all members of this small agency.
- Ability to comprehend, analyze and interpret large amounts of information in a fast paced and time sensitive environment.
- Organization and attention to detail.
- Ability to type at least 50 WPM.
- Efficiency with computer software including, but not limited to, Microsoft Office, Outlook, Adobe, and Dropbox. Knowledge of SAM InReach Solution data maintenance software a plus.
Qualifications:
- Preferred Bachelor’s or Master’s degree in social work, psychology, and/or other eligible human service field of study.
- Prior experience in data management.
- Must be able to pass criminal and child abuse clearances
