Job Summary
Our Construction Management team seeking a Documents Control Specialist projects. The Document Controls Specialist will be responsible for the maintenance of the project document management system and technical library for the assigned contracts. Individual will maintain and develop a central registry for all project documentation for PM and CE&I project phases.
Responsibilities & Qualifications
DUTIES AND RESPONSIBILITIES:
  • Maintain document management and filing system for electronic storage and hard copies as required.
  • Maintain Technical Library for drawings and submittals.
  • Maintain and manage document retrieval/storage for PMO.
  • Manage and distribute project documents for PMO.
  • Maintain progress documents i.e., Construction Photographs and Field Reports.
  • Maintain Laboratory Tests and Inspection Reports.
  • Log and distribute RFI's and responses.
  • Log and distribute Shop Drawing Submittals and responses.
  • Prepare back up for monthly Work Summary Report.
  • Record and prepare draft minutes for weekly progress meetings.
  • Prepare draft meeting agendas.

QUALIFICATIONS (INCLUDING EDUCATION and/or JOB EXPERIENCE):
  • Any combination of training, education and experience which demonstrates the ability to perform this position's duties.
  • Bachelor's Degree - Business Administration, Engineering, Construction Management or other related field.
  • Prior document management experience on large scale projects.
  • Experience with transit agencies such as MTA C&D, NYCT, LIRR, MNR preferred.
  • Hands on experience of the mainstream document control software such as ECMS, Constructware or Primavera Expedition is preferred.
  • Excellent organizational and communication skills.

Communication

• May assist in the preparation of proposals for standard or smaller projects agreement.
• Develops and maintains good working relationships with clients on assigned projects
• May begin to liaise with clients from guidance from more senior level professionals
Expertise
Level of expertise required to fulfill level responsibilities
• Requires broad theoretical job knowledge typically obtained through formal college or university education
• Works under the supervision of a more senior professional
• Prepares drawings, designs and calculations for projects and assignment of low complexity
• Executes work with coaching and support from colleagues
• Developing skills in a particular discipline
• Typically requires a University Degree, or a Diploma, or equivalent experience and less than 5 years prior relevant experience
