Job description

GENERAL SUMMARY OF DUTIES: Oversee day-to-day operations of the retail department and all of its team members. Provide leadership and supervise the department; make decisions, solve problems and develop and document departmental procedures; conduct meetings; represent department at internal and external meetings. Coordinate inter-departmental communication and relay needs and information among staff. Responsible for protecting dispensary assets, ensuring customer service standards are met and maintain the appearance of all departments. Work closely with other department managers, including, but not limited to, the Inventory, Product and Safety departments. Understand and embrace the mission of SPARC and its role in the industry and local and greater communities.


SUPERVISION RECEIVED: Reports to the Dispensary Manager


SUPERVISION EXERCISED: Self-directed; actively manages and supervises department’s employees. Accomplishes staff results by communicating job expectations; planning, monitoring and appraising job results; coaching, counseling and disciplining employees; provides oversight and direction to the employees in the department in accordance with the organization’s policies and procedures; consistently enforces personnel and policy procedures. Maintains staff by recruiting, selecting, and training department’s employees; develops personal growth opportunities; accepts resignations and initiates terminations.


EXAMPLE OF DUTIES: (This list may not include all of the duties assigned.)

  • Provide leadership and supervise the department; make decisions, solve problems and develop and document departmental procedures; conduct meetings; represent department at internal and external meetings.

  • Accomplish staff results by communicating job expectations; planning, monitoring and appraising job results; coaching, counseling and disciplining employees; provide oversight and direction to the employees in the department in accordance with the organization’s policies and procedures; consistently enforce personnel and policy procedures. With assistance from HR, resolve employee complaints and provide mediation when needed.

  • Maintain staff by recruiting, selecting, and training department’s employees; develop personal growth opportunities; accept resignations and initiate terminations.

  • Maintain employee work schedules including assignments, job rotation, training, time off, cover for absenteeism, etc.; monitor and track team’s timesheets in collaboration with HR support personnel.

  • Attend weekly management meetings.

  • Develop and maintain rapport with staff from all departments.

  • Lead with an understanding of customer service philosophy and dispensary procedures; analyze dispensary standards and ensure dispensary reaches full customer service potential by maintaining a continued awareness of the industry (local and regional); ensure all members receive the highest quality service from staff; respond to member and/or non-member inquiries via phone or walk-ins; follow up with members’ requests or inquiries promptly and efficiently; resolve non-standard complaints.

  • Build, improve and maintain effective relationships with members, vendors, visitors and overall community; maintain composure and professionalism in dealing with authorities, executives, members, vendors, staff and/or the public, occasionally under conditions of urgency and high pressure situations.

  • Train and educate dispensary team to increase knowledge and create an environment focused on member service and education; communicate availability of dispensary products to staff.

  • Reconcile all inventory, cash and client records daily; follow strict controls to protect dispensary’s assets, i.e. cannabis, cash, etc.

  • Oversee maintenance, supplies and appearance of the dispensary in accordance with set standards; maintain current stock of Member Handbooks, Intake forms and promotional items, such as lighters, stickers and newsletters. Work with Administrative and Product personnel to order as needed.

  • Analyze and organize office operations and procedures.

  • Perform regular quality assurance audits; hold team accountable for quality protocols, i.e. dispensary standards, safety, sanitization, etc.

  • Oversee management of the member database.

  • Act as the primary decision maker in the absence of the Dispensary Manager.

  • Motivate and influence others through personal actions and examples.

  • Maintain strictest confidentiality in all departments.

  • Responsible for projects, assignments and tasks.

  • Perform other related work as required in all departments.

  • Ability to be conversant on all our products and their unique ‘characteristics’ and be able to recommend similar products that possess similar qualities.

  • Ability to dispense medicine accurately and efficiently.

  • Explicit knowledge on strains, genetics, cultivation techniques and effects of cannabis preferred.


EDUCATION/EXPERIENCE: Three years of related experience required, five or more preferred. Retail management, cash handling experience and Point of Sale (POS) system experience required. Minimum of two years of supervisory/management experience required. Working knowledge of Microsoft Office, Google Docs, Gmail and Treez. Experience in cannabis industry highly desirable. Must be 21 years old and submit to a background check.

TYPICAL PHYSICAL DEMANDS: Work may require prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a cash register, credit card machine, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing. Requires close vision with the ability to see color and adjust focus. Occasionally requires lifting up to 50 pounds.


TYPICAL WORKING CONDITIONS: Work is performed in a busy cannabis dispensary. The dispensary area is very loud due to fans and filtration systems, fluctuating between extreme cold and hot temperatures. Involves frequent contact with staff and the public. Work may be stressful at times and may include dealing with law enforcement and/or difficult members. Must be available to work varied hours/days, including nights, weekends, holidays and/or events.
