Director, School Operations
REPORTS TO: Head of School
STATUS: Exempt/Salaried
DIRECT REPORTS: TBD
SALARY: $85,000 - $90,000.00 (Commensurate with education and experience)
Purpose of Role
Working under the direction of the Head of School, and in partnership with the school's senior leadership team (SLT) the Director, School Operations (DSO) will be responsible for supporting the Head of School in coordination and management of all the day-to-day items related to learning, student, and School Operations.

Key Responsibilities
Senior Leadership Team Member:
Participate actively as a member of the Senior Leadership Team. This includes, but is not limited to:
  • SLT meetings;
  • staff and faculty meetings;
  • budget management for assigned areas;
  • afterschool event support and supervision; and,
  • supporting the day-to-day needs of the school.

Management of School Support Teams:
  • Manage school support teams necessary for successful educational experiences for WPS students. This includes:
  • management of the front desk staff (currently a team of 2);
  • management of the facilities staff (currently a team of 2); and,
  • management of the kitchen staff (currently a team of 4).

School Operations Support:
Develop and maintain a systems-level understanding and management of the day-to-day operations of Willows Prep. This includes, but is not limited to:
  • Event planning, communication, and management with a focus on school support needs including facilities needs and kitchen support. Events can include, but are not limited to: orientations, trainings, athletic events, admissions events, academic events, PA events, or graduation.
  • Field trip coordination and planning. Work with the Director of Curriculum and front desk staff to ensure all field trip logistics are planned and implemented. This can include reservation of venue(s), reservation of transportation, coordination of meals and/or chaperones, etc.
  • Coordinate lunch and recess supervision duties as well as school dismissal duties.
  • Compliance management and reporting.
  • Drive and coordinate our WPS facilities and events master calendar.
  • Traffic coordination and management.
  • Facility usage coordination.
  • Emergency planning and coordination. (Health and Safety Coordinator)
  • School photo file management

Knowledge, Skills, and Abilities
  • Ability to anticipate potential needs to the school and provide creative, imaginative solutions.
  • Proven track record in innovation and taking the initiative in making things happen.
  • Strong relationship management skills across all levels within the school and with our regional team (as appropriate and applicable).
  • Excellent phone etiquette, written, presentation, and in-person communication skills.
  • Demonstrated experience in providing high face-to-face services to families/students/vendors.
  • Proficiency in Microsoft Word, Excel, Outlook, etc.
  • Strong organizational skills and attention to detail.
  • Reliable, dependable, professional and can maintain confidentiality.
  • Proven ability to work independently and in a team.
  • Excellent interpersonal skills.
  • Positive attitude and team player.

Skills, Qualifications and Experience
  • Bachelor's degree preferred or higher in business administration, operations management, education; or equivalent education and experience in a related field.
  • 5+ years' experience in School Operations.
  • Working knowledge of Microsoft Office and education technology.
  • Ability to multi-task, prioritize, and efficiently complete all tasks assigned.
  • Effective communication skills, both oral and written, including the ability to interact/communicate with all types of members of the community including teachers, administrators, parents, and students.
  • Self-starter, ability to set and meet goals, and a desire to excel.
  • Ability to problem solve.
