Director of Independent LivingStatus: Full-Time (M-F with flexibility on weekends and some holidays required)
Wage: $65,000-$85,000
Location: Ovation Sienna Hills - 1525 E Ovation Place, Washington, UT 84780

This position requires a flexible schedule to meet the needs of the property. This may include evenings and weekends. This position is an exempt salary position.

Management of the Front Office (20% of responsibilities)

  • Responsible for the Management of Front Desk Receptionists (8) and Concierge (1) including scheduling, shift coverage, communication, Community office supplies, guest room reservations and Resident relations. Reconcile all Front Office related monthly credit card receipts.
  • Responsible for Transportation Employees (4) including scheduling, shift coverage, vehicle maintenance, registration and insurance. Ensure that the Resident Transportation calendar meets the needs of our Residents and maximizes our vehicles and Staff. Reconcile all Transportation related monthly credit card receipts.
  • Plan and organize Staff Meetings and Team Building Events as appropriate and needed.

      Management of Life Enrichment – Independent Living andVillas (20% of responsibilities)

      Independent Living:

      • Assist the Independent Living Life Enrichment Assistant Director with Monthly Life Enrichment Calendars, planning, activities, events, concerts and budget management. The Assistant LED must submit the Monthly Calendar by the 20th of the month for the upcoming month. The Director of Independent Living would proof the calendar for grammar and spelling errors. Help create new and exciting programs with input from Residents and the Assistant Director that will be unique and exciting to Ovation Sienna Hills and inspire Prospective Residents to join our Community. Expand knowledge and usage of the K4 Connection App with Residents and Staff.
      • Ensure that Community vehicles are reserved in advance for activities working with the Resident Transportation Calendar. If necessary due to unanticipated events, plan on leading and driving an activity.
      • Coordinate closely with the Food & Beverage Department to ensure four diamond execution of events and activities. Ensure that Banquet Event Orders are submitted prior to the first of the month for the upcoming month.
      • Work with the Assistant LED to maintain proper checkbook accounting of all Life Enrichment expenses and confirm that all Life Enrichment credit card receipts are reconciled each month.

            Villas Life Enrichment and The Villas Manager

            • Assist the Villas Manager with Monthly Life Enrichment Calendars, planning, activities, events, concerts and budget management. The Villa Manager must submit the Monthly Calendar by the 20th of the month for the upcoming month. The Director of Independent Living would proof the calendar for grammar and spelling errors. Help create new and exciting programs with input from Residents and the Assistant Director that will be unique and exciting to Ovation Sienna Hills and inspire Prospective Residents to join our Villas Community. Expand knowledge and usage of the K4 Connection App with Residents and Staff.
            • Ensure that Community vehicles are reserved in advance for activities working with the Resident Transportation Calendar. If necessary due to unanticipated events, plan on leading and driving an activity.
            • Coordinate closely with the Food & Beverage Department to ensure four diamond execution of events and activities. Ensure that Banquet Event Orders are submitted prior to the first of the month for the upcoming month. Confirm that the Villas Saturday Morning Breakfast is organized and executed every Saturday morning.
            • Work with the Villas Manager to maintain proper checkbook accounting of all Life Enrichment expenses and confirm that all Life Enrichment credit card receipts are reconciled each month.
            • Ensure that the Villas Manager is coordinating closely with Housekeeping and Maintenance to take care of Villa Projects to include: window washing, carpet cleaning, tile floor cleaning and semi-annual deep cleans of Resident Villas as well as the Villa Clubhouse. Maintain records that document when these projects are executed in each Villa.

                    Community Events and partnering with Arete Living Marketing for Community Marketing (20% of responsibilities)

                    • Arete Living and the Chief Marketing Officer (Thomas Cloutier) direct and manage all aspects of Advertising, Marketing and Promotions at Ovation Sienna Hills – including budget responsibility.
                    • The Director of Independent Living is responsible for on the ground organization and execution of Events and local Public Relations so the Sales Department can stay directly focused on bringing new Residents to our Community and hitting our target Census goals.
                    • The Director of Independent Living will meet with the Chief Marketing Officer monthly to determine appropriate budgets for Sienna Hills Events. Events should be focused on Sales Lead Generation.
                    • Events should move from short term planning to planning six months out as the planning cycle matures. The Director of Independent Living will work closely with the Sienna Hills Sales Director, the Arete Chief Marketing Officer and Arete Marketing Team on the planning, promotion and execution of events and outreach.
                    • Focus on local partnerships such as the Huntsman Games and Iron Man – work with the Washington City Chamber of Commerce and other local non-profit organizations to promote Sienna Hills. Responsible for the scheduling and best utilization of our Influencers (Marianne and Doug Hamilton) to promote Sienna Hills.
                    • Actively participate in the sales process for Independent Living and Villas.

                          Independent Living Operations and Administration (40% of responsibilities)

                          • Address Resident issues and concerns. Some of these concerns may be related to monthly invoices and billing which require coordination with the Business Office Manager. Conduct consistent “Care Conference” type meetings with every Independent Living and Villas Resident (and family if necessary) on rotation. A big part of the Independent Living Director job is retention and being proactive. Ensure that Residents are happy, getting the entertainment needed and desired and making Residents feel seen and heard.
                          • Work with Community Department Managers to assist them with financial and labor management tools. In part knowledge of purchasing, reconciliation and monthly income statement details and understanding when appropriate.
                          • Maintain the asset in top working through property walks with Building services and environmental services. Submit capex purchases as necessary and assist in planning and execution of projects as directed by the General Manager.
                          • Work with the Business Office Manager to ensure Department invoices are processed in a timely manner. Understand the details of the Community monthly Income Statements and assist with expense variance analysis and journal entries to correct errors.
                          • Ensure amenities such as The Parlor, Infinity Wellness, Atlas Home Care and Hospice are offering services congruent with Ovation’s brand standards and that their services are marketed and promoted. Help to create better usage of unique amenity rooms: Emma’s Tea Room, the Library, Cassidy’s, 360 Pavilion and Terrace, outdoor ground level terraces and fire pits.
                          • Be prepared on short notice to address new projects, ideas, programs and opportunities that come our way or that are mandated for the Community. These happen frequently and may circumvent day to day responsibilities.

                                Administrative Functions

                                • Implement and maintain written policies and procedures and professional standards of practice that govern the operation of the Independent Living community.
                                • Assist the HR Director in the development of performance-based job evaluations and help them implement timely Annual Performance Reviews.
                                • Foster a strong cohesive team environment that builds confidence and strong morale among staff and high staff retention.
                                • Assist Department Directors in the development, use, and implementation of departmental policies and procedures and professional standards of practice.
                                • Review the property’s policies and procedures at least annually and suggest/submit changes as necessary to assure continued compliance with local and state regulations/laws.
                                • Interpret the property’s policies and procedures to team members, residents, family members, visitors, government agencies, etc., as necessary.
                                • Work with property legal counsel, Ovation Regional Vice President of Operations, and General Manager to ensure that public information (policy manuals, brochures, website data, etc.) describing the services provided by the property is accurate and fully descriptive.
                                • Ensure that all team members, residents, visitors, and the general public follow the property’s established policies and procedures.
                                • Participate in departmental meetings to ensure that appropriate information sharing is provided on a continuous basis.

                                Working Conditions

                                • Works in office areas as well as throughout the community and its premises.
                                • Moves intermittently during working hours.
                                • Is subject to hostile and emotionally upset residents, family members, personnel, and visitors.
                                • Works beyond normal working hours (8:30am – 5pm Monday through Friday) and on weekends and holidays when necessary.
                                • Is subject to call-back during emergency conditions (e.g., severe weather, evacuation, post-disaster, etc.).
                                • May be involved in community/civic health matters/projects.
                                • Is subject to injury from falls, burns from equipment, odors, etc., throughout the workday, as well as reactions from dust, disinfectants, tobacco smoke, and other air contaminants.
                                • Is subject to exposure to infectious waste, diseases, conditions, etc., including TB, COVID19, AIDS and Hepatitis B viruses.
                                • Maintains a liaison with the residents, their families, support personnel, etc., to assure that the residents’ needs are continually met.

                                Requirements

                                • A Bachelor’s Degree is preferred or 3 years or greater of operational experience in a similar environment such as hospitality, senior living or multi-family living.
                                • Must be able to read, write, speak, and understand the English language.
                                • Must be able to proficiently operate a computer. Must possess basic computer skills in Microsoft Word, Excel, Power Point and Outlook
                                • Must possess the ability to make independent decisions when circumstances warrant such action.
                                • Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel and the general public.
                                • Must possess the ability to plan, organize, develop, implement, and interpret the programs, goals, objectives, policies and procedures, etc., that are necessary for providing quality care and maintaining a sound operation.
                                • Must be thoroughly familiar with laws, regulations, and guidelines governing personnel administration.
                                • Must be able to maintain good personnel relations and employee morale.
                                • Must be able to read and interpret financial records, reports, etc.
                                • Must function independently, have flexibility, personal integrity, and the ability to work effectively with Residents, personnel, and support agencies.
                                • Must be able to relate to and work with ill, disabled, elderly, emotionally upset, and at times hostile people within the community.
                                • Must be able to push, pull, move, and/or lift a minimum of 25 pounds to a minimum height of 5 feet and be able to push, pull, move, and/or carry such weight a minimum distance of 50 feet.
                                • May be necessary to assist in the evacuation of residents during emergency situations.
                                • As part of being an Ovation team member you may be recorded or photographed as part of marketing campaigns and quality assurance. You will be asked to consent to this as part of your new hire packet.
