The Director of Event Services is responsible for overseeing all aspects of Event planning and execution within an organization acting as both brand ambassador and trusted partner – you’ll connect internal teams to deliver a seamless experience for planners, hosts and meeting attendees. The Director of Event Services manages a team of Event managers and coordinators, providing guidance and support to ensure successful event delivery.

Work Requirements

  • Develop and implement strategic plans for event management in alignment with organizational goals.
  • Collaborate with key stakeholders to determine event objectives, target audience, and budget requirements.
  • Track revenue generation and return on investment for each event.
  • Monitor expenses to ensure cost-effectiveness and adherence to financial targets.
  • Recruit, train, and supervise a team of Event managers and coordinators while providing ongoing guidance, feedback, and support to team members to enhance their performance and professional development.
  • Oversee all aspects of Event logistics, including venue selection, catering, audiovisual requirements, and transportation.
  • Identify potential risks and challenges associated with events and develop contingency plans to mitigate them.
  • Participate in property tours and client meetings.
  • Attend/conduct all designated Events/Operations/Revenue/Sales Strategy meetings.
  • Prepare all documentation of the events, including events orders and resumes to the satisfaction of the customer and clear communication with all departments on campus.
  • Prepare, implement and compile data for strategic sales plan, regular reports, annual goals, forecasts and other reports as directed and/or required.
  • Oversee and maintain administrative duties in Delphi
  • Forecast catering food, beverage and room rentals on an annual, monthly and weekly basis.
  • Ensures that all file turnover requirements (from Sales to Events Services) are fulfilled.
  • Available and present for customer during the event to solve problems and / or suggest alternatives.
  • Work with all departments to solve operational challenges and recommend specific improvement of services for customers, resulting in greater bookings and customer satisfaction.
  • Tour, inspect and monitor function space for programs/ groups/ faculty events, and insure that the desired level of quality is maintained in all meeting room sets on a continual basis.
  • Responsible for anticipating needs, forecasting results, analyzing and arranging work processes for personnel in the department.
  • Conducts weekly department meetings; attends out-of-campus meetings as required.
  • Other related duties as required.

Qualifications

  • Minimum of 3 years of experience in event, meeting, conference, or stage production management or high-level supervisory capacity
  • College degree or equivalent experience preferred.
  • Demonstrated excellence in attention to detail, understanding of Events management, events production, and leadership.
  • Hands-on management style to be a working director and to select, train and retain skilled team.
  • Excellent organizational, written and spoken communication skills.
  • Excellent client relations skills to build relationships and resolve issues.
  • Ability to prioritize and complete multiple projects and tasks efficiently and effectively.
  • Fluency in Microsoft Outlook, Word, and Excel
  • Ability to learn and operate property operating systems. Delphi.
  • Ability to work both independently and as part of a team; ability to multitask in a fast-paced environment.
