Job Summary

We are seeking a highly motivated and experienced individual to join our luxury space as the Director of Conference Services. As the Director of Conference Services, you will be responsible for curating and delivering exceptional event experiences for our clients. You will play a vital role in connecting with clients, planning and forecasting events, and ensuring the seamless operation of our space. The ideal candidate will have a passion for delivering exceptional service, strong organizational skills, and the ability to maintain a welcoming and high-quality environment.

Duties and responsibilities

Key Responsibilities:
Knowledgeably introduce the club space to clients and members by offering tours and connecting with them to curate their event.
Serve as the main point of contact for all private events and collaborate with different business streams to support club events and meetings.
Plan and forecast club events, ensuring that monthly revenue forecasts are prepared and met.
Promote club services to enhance the event experience and drive client satisfaction.
Personalize the event experience to create memorable and unique moments for members and clients.
Demonstrate strong organizational skills by mapping out all current and future events in the space.
Collaborate with the property management team to ensure all Certificates of Insurance (COIs) are reviewed and up to date.
Maintain a welcoming atmosphere in the lounge space, ensuring it is always clean, well-maintained, and aesthetically pleasing.
Manage member registration procedures, ensuring a seamless and efficient process for new and existing members.
Implement and oversee daily check-in practices, maintaining accuracy and attentiveness at all times.
Follow up on all maintenance issues on-site to ensure the club is offering a seamless experience to clients.
Monitor and analyze member feedback and satisfaction metrics to identify areas for improvement and implement strategies for enhancing the overall member experience.
Foster a positive and inclusive work environment that encourages teamwork, innovation, and a passion for exceeding member expectations.
Continuously update and maintain detailed records of member preferences to enhance personalized experiences.
Train, coach, and mentor the Experience Concierge team to deliver exceptional service and uphold the highest standards of hospitality.
Provide guidance and support to the team in handling member inquiries, requests, and feedback, ensuring prompt and satisfactory resolution.
Oversee Audio Visual operations, ensuring seamless execution of presentations, events, and member experiences.
Passion for hospitality, with a genuine desire to create memorable moments and exceed guest expectations.

Qualifications
Bachelor's degree in Hospitality Management, Event Management, or a related field.
Proven experience in CONFERENCE SERVICES, event planning, or a similar role within the luxury hospitality industry.
Excellent interpersonal and communication skills to build strong relationships with clients and team members.
Strong organizational skills with the ability to prioritize and manage multiple tasks and events simultaneously.
Detail-oriented mindset with a focus on delivering exceptional service and attention to detail.
Proficient in event planning software and tools.
Ability to thrive in a fast-paced and dynamic environment.
Knowledge of local regulations and requirements for hosting events.
Flexibility to work evenings, weekends, and holidays as required.
