Overview:

 

North Dallas Dermatology Associates a Forefront Dermatology 

Summary:

 

The Director of Clinic Operations is responsible for leadership and effective mentorship of the Regional Clinic Managers and Clinic Team Leads to support company growth and operations. Also responsible for creating and maintainingRCM and TL training programs and materials. 

 

This person will work closely with clinical vendors, Physician leaders, Operations leaders, and support services department heads to identify system and process needs and effectively project manage to achieve overall company goals.

 

In addition, Director of Clinical Operations will be responsible for a subset of Clinics and carryout Regional Clinic Manager(RCM) duties related to clinic support. RCMs are accountable for cultivating clinic leadership, leading operational excellence, and delivering a patient experience that result in the highest levels of patient satisfaction and retention. RCMs are accountable for clinic level economic profitability and growth by monitoring and analyzing financial performance reports on individual physicians and mid-level providers and at the clinic level as a whole. 

 

RCM’s provide leadership, communication and guidance to all physicians, PA/NP’s, clinic team leaders and staff in their assigned clinics while promoting the values and mission statement of ForefrontDermatology.

 

RCMs act as the primary communication liaison between Support Services and clinics including but not limited to corporate policy and procedural changes as well as clinic operational protocols. A RCM will effectively oversee multiple clinics (range will vary depending on number of Clinicians, staff and size) via a combination of on-site and remote management, requiring travel. Clinics will include a combination of established and newly integrated clinics as well as de novos.

Full Time: 40 hours a week, Monday - Friday: 8:00am - 5:00pm
 

 

Responsibilities:

Essential Functions: 

 

1. Initiates and leads projects to maximize clinic efficiency and functionality related but not limited to:

a. Clinic medical & surgical dermatology workflow

b. Cosmetic dermatology & Medi spas

c. Clinic inventory management

d. CMS MIPS Incentive Program

e. CLIA

f. Compliance with CMS, OIG, and other laws and regulations

g. ICD-10 & CPT coding changes

 

2. Provide leadership and mentorship of the RCM team members to support consistency, growth and operational needs, ensuring the highest levels of Physician, PA, andNP satisfaction. 

 

3. Develops training programs and learning opportunities to ensure consistency and effectiveness of all Clinic Team Leads. 

 

4. Work with the Support Services departments to gather feedback and areas for improvement and integrate into goals and work plans for clinic improvements.

 

5. Actively participates as a member of SupportServices cross functional teams that lead new clinic initiatives.

 

 

Maintain RCM functional duties by overseeing a subset of Clinics:

 

1. Performance Results: Analyze trends in revenue, productivity, appointments, work days and patient flow to maximize practice growth and provider performance. Monitorp hysician and mid-level provider vacation requests to maximize appointment availability and revenue potential. RCM leads effective conversations surrounding this data to support informed decision making.

 

2. Leadership: Maximizes clinic operational efficiency, customer service, and performance, as well as physician and mid-level provider satisfaction through effective leadership.

 

a. Team Leader oversight: Regular communication and review of Clinic Operations and planning for upcoming changes. This oversight includes:

i. Staff issues, development and training

ii. Addressing physician, TL, and staff concerns

iii. Coaching on areas of team leader responsibility as needed

iv. Equipment or supply needs and / or issues

v. Review staffing analysis and staff schedules for adequate ratios and coverage

vi. Participation in economic performance directives related to direct clinic costs (labor, supplies, etc.)

vii. Ensure timely collection of patient A/R by front desk staff

 

b. Collaborate with Clinic Leadership: Actively participate in monthly meeting with all clinic leadership teams (Physicians,Mid-Level Providers, and TLs) for review of Clinic Operations and planning for upcoming changes including but not limited to: 

i. Review office economic performance

ii. Review other operational reports and measures for compliance

iii. Support Services operational updates on policy and procedural changes

iv. Discuss and address individual clinic questions and concerns as well asdiscuss overall company direction

 

c. Extended operations team oversight: Lead Monthly Collaborative Group TL meeting with all direct TL reports participating via phone and web

i. Present standardized companywide TL meeting PowerPoint presentation 

ii. Discuss additional content specific to particular clinics

iii. Review office economic performance; assess opportunities to better fillschedule and control supply and labor costs.

iv. Support teamwork within region by encouraging open dialogue amongst TLs

 

3. Communication/Advocacy: Prepares for and actively participates in required management meetings including but not limited to meetings with VP of operations, physician advisor and other administrative or operational meetings as scheduled. Is the liaison between Support Services and the clinics and bridges the gap between the two to help improve support and communication.

 

4. Training Material/ContentDevelopment:

 

a. Develops and keeps updated TL and Clinic staff training materials in collaboration with other RCMs and Support Services managers.

b. Develops content for monthly TL meetings in collaboration with other RCMs and Support Services managers.

Qualifications:

Education

  1. Successful completion of a medical support field, preference given to BSN.
  2. Masters level preparation in business or related field preferred, or bachelor’s degree in business, organizational health or healthcare administration with extensive related healthcare experience.
  3. Must keep current on all state certifications, licenses and/or registrations to continue employment.

 

Knowledge, Skills and Abilities

 

  1. Demonstrated leadership experience. Must be able to demonstrate leadership by serving as an example to others with regard to professional behavior, handling multiple tasks, maintaining a positive attitude, and in response to organizational change.
  2. Must possess excellent communication, organization, leadership and interpersonal skills in order to provide a quality mentorship and training experience.
  3. Ability to provide effective, constructive, and positive feedback to others, and respond positively to constructive feedback from others.
  4. Ability to work effectively and cooperatively with staff, be influential and lead a team.
  5. Ability to multi-task, prioritize appropriately, and work well both individually and as part of a team.
  6. Ability to use time productively and contribute to high levels of company operational efficiency and effectiveness.
  7. Ability to maintain confidentiality of information.
  8. Proficiency with Microsoft Word, Excel and PowerPoint.
  9. Must possess a valid United States driver’s license (probationary not acceptable) and an acceptable driving safety record.
  10. Ability to travel.
