POSITION: Director of Capital Projects and Facilities Management

REPORTS TO: Vice President of Operations

STATUS: Full-time, Exempt, Onsite

RANGE: $140,000 – $160,000

SUMMARY: Founded in 1901, Brooklyn Law School is a distinguished, independent law school located in Downtown Brooklyn, New York. The Law School is searching for a Director of Capital Projects and Facilities Management to join our team. The Law School’s size, vibrant employee and student population, and commitment to training the next generation of lawyers and promoting social justice, will offer a candidate the opportunity to develop and diversify practical skills and participate firsthand in operating a successful educational institution.

Reporting to the Vice President of Operations, the Director of Capital Projects and Facilities Management will play a vital role in directing and administering Capital Projects and facilities maintenance. This role will be responsible for ensuring the successful execution of construction projects, maintaining efficient and well-managed facilities, and overseeing ongoing renovations across the school. The Director will participate in the planning, design, review, and integration of construction projects and will ensure all physical conditions of buildings, grounds, and equipment and residence hall are in a state of good repair. Provide a high level of service by establishing and maintaining effective working relationships and partnerships. Responsible for short- and long-term planning and managing activities and resources to maintain the school’s facilities, including leadership and supervision of maintenance, and management of outsourced night custodial services. The Director will manage the facilities and custodial budget and inform the capital budget. This is a fully on-site position.

Responsibilities include:

  • Manage maintenance teams in two locations: the main law school administrative building and our residence hall.
  • Oversight of external service vendors as related to facilities, maintenance, housekeeping and grounds.
  • Ensures that work is done in compliance with New York City, New York State, and federal regulations including those of environmental and building codes.
  • Manages Capital Projects as assigned, works closely with the VP of Operations, as the Capital Projects co-lead, primarily responsible to manage sub-contractors and project timelines.
  • Works closely with campus safety director on fire safety and vertical transportation safety. Assist Campus Safety personnel with emergency preparedness and response. Responsible for facility safety and physical ADA compliance standards
  • Effectively lead, guide, direct, supervise, and set priorities for facilities staff and manage and evaluate performance.
  • Develop, implement, monitor, budgets, and expenditures for areas of responsibility. Direct the purchase of materials, equipment, parts, contracted services, and other services related to Facilities Management.
  • Establish and maintain effective working relationships with administrators, contractors, and faculty and staff personnel. Develop, plan, and manage construction and remodeling activities and projects and serve as a liaison with architects, construction managers, other construction personnel, and the administration to ensure that projects are completed on time and within budget.
  • Assist in the development and maintenance of long-range facilities master planning.
  • Maintain building and campus blueprints and drawings.
  • Work closely with the VP of Operations to assist with analyzing bids and making recommendations for awarding bids, negotiating contracts, performing cost analysis for special procurement recommendations, and maintaining current vendor resources.
  • Analyze and evaluate the effectiveness of facilities plans and procedures.
  • Develop, monitor, and maintain a preventive maintenance program to increase the efficiency and operating life of all equipment, buildings, and infrastructural systems such as electrical, mechanical, heating, air conditioning, and plumbing.
  • Anticipate conditions, plan, establish priorities and schedules, and meet established deadlines. Establish criteria, procedures, and schedules for facility operations and services including planned and unplanned maintenance, housekeeping (i.e., floor surfaces, furniture, equipment, and waste management), and grounds (i.e., landscaping, ice, and snow removal).
  • Monitor utility usage (i.e., electricity, propane gas, water) and implement energy management initiatives.
  • Monitor maintenance and related operations work, including the work of contractors, to ensure compliance with applicable safety, health, and environmental laws and regulations.
  • Serve as the school’s primary point of contact for facilities-related needs. Assist the campus community with facilities-related projects such as event coordination and work collaboratively to achieve and maintain positive and productive working relationships.
  • Respond to security/fire/maintenance issues.
  • Represent the VP at a variety of meetings, functions, and committees, including construction, maintenance, and operations-related activities.
  • Maintain a high standard of professional and ethical practice in representing the school. Work cooperatively with team members and colleagues, contributing positively and constructively to the achievement of team and school objectives.
  • Perform other duties as assigned, including special projects.

Required:

  • 8+ years in Facilities and Operations Management is required, with at least five years in a management position, supervising maintenance staff, preferably in an educational setting.
  • Bachelor’s degree in architecture or engineering is required, or the equivalent combination of education and experience sufficient to successfully perform essential functions of the job.
  • Proven skill in handling diverse constituencies, managing multiple tasks and projects simultaneously, problem-solving, and excelling in complex environments with rapidly changing priorities and competing deadlines.
  • Working knowledge of building systems and engineering, MEP and HVAC included. Familiarity with codes, ordinances, and best practices affecting construction and repair, especially in New York City.
  • Availability to work nights, weekends, and holidays, as needed, and to respond to emergency situations on an “on-call” basis.
  • Demonstrated strength in project management with excellent organizational skills and proven ability to complete projects on schedule.
  • Strong proficiency in the Microsoft Office suite, including Outlook, Word, and Excel
  • Strong communication skills.
