Description: Job Summary
The Director of the Memorial Hall/Lowell Hall Complex reports to the Director of Administration for the OFA and is responsible for all aspects of the operation of Memorial Hall/Lowell Hall Complex, including Sanders Theatre, Annenberg Hall, Lowell Hall, and all associated activities rooms (excluding food and pub operations.) The position coordinates house management, production, programing, ticketing services and facility functions to orchestrate a concerted service environment. The Director collaborates with the OFA management team to:
  • Design, implement and develop goals for new programs, events and services that support student art making and engagement and strategies for meeting those goals.
  • Make recommendations to improve overall administration
  • Provide a leadership role in event planning and management

The position supports Senior OFA Management in diversity, equity, inclusion and belonging initiatives, promoting an organizational culture that demonstrates these values among staff, students, and the community, and integrating these values into all the work we do.
Position Description
Programing 25% The Director has over-all responsibilities for the oversight and support of all activities within the complex and develops program goals for the facility and strategies for meeting those goals and is responsible for overall scheduling and communication regarding the use of the venues. The position:
  • Negotiates and writes contract specifications; approves and administers special activities
  • Ensures effective communication regarding activities to the public.
  • Communicates to users the regulations governing use of the facilities.
  • Serves a leadership role to facilitate scheduling and booking events and coordinates the scheduling of activities with other Harvard departments
  • Develops and manages long-range plans for building and programming issues, involving scheduling, maintenance, and marketing
  • Advises users with event planning, marketing, and management
  • Works closely with the FAS Registrar's Office, FAS Administration, College, and the public
  • Is responsible for scheduling and communication regarding all non-curricular use

Production and House Management Oversight 20% This position supervises the Memorial Hall Production group and Box Office front of house staff in providing the highest possible level of event services to the Complexes' users. The position:
  • Is responsible for event production support at the Complex, provides oversite for the production group's operations and recommends, implements, and oversees use policies and procedures of the venues
  • Meets weekly with the Program, Production and Harvard Box Office Managers to coordinate upcoming events services
  • Approves event occupancy numbers, ticketing strategies and event safety plans

Human Resources and Supervisory 20% The position:
  • Supervises the Program, Production and Box Office managers, including hiring, performance evaluations and training
  • Is responsible for compliance with and administration of the HR policies and procedures for the department's 15 positions and 55 temporary and less than half time employees
  • Oversees HR and payroll tools and is the contact for payroll and HR policy

Financial and Box Office Oversite 20%The Director oversees the development,implementation, management and monitoring of the annual budgets including marketing and assists in long range planning as well as providing oversight for Harvard box Office financial operations. The position:
  • Analyzes income and expenses budgets, enacting changes to limit deficits and strategies to promote surpluses
  • Recommends non-facility capital improvements in sound, lighting and instrument purchases and develops cost estimates
  • Develops cost estimates for special programs and new initiatives
  • Is responsible for tracking department expenses and income in a bottom-line financial environment with a 1/2 subvention to 1/2 income budget
  • Meets regularly with the OFA Director of Administration to review the budget status and develop responses to long term trends.
  • Works with department managers in setting sub-department financial targets and implementing strategies to achieve the target
  • Handles confidential information regarding staff salaries and payroll
  • Develops space use and ticketing services fee structures
  • Report on Tax analysis for income and debt compliance
  • Determines ticketing fees

Physical Resources 10% The Director in conjunction with the Building Manager oversees the management of the physical plant and grounds and has over-all responsibility for the condition and operation of the buildings and their immediate surroundings. The position:
  • Recommends, implements, and oversees policies and procedures about use of facilities
  • Coordinates and supervises major building changes
  • Develops program goals for the facility and strategies to meet them

OFA Scope/Other Projects 5%
The position participates in OFA initiatives and College committees, assists the OFA with other duties and projects.
Basic Qualifications
  • Bachelor's degree.
  • Minimum seven years' experience in performing arts and organizational management.
  • Experiencing with direct supervision

Additional Qualifications and Skills
  • Master's degree in relevant field preferred.
  • Ability to lead a team with strong supervisory skills.
  • Proven experience working with students.
  • Facilities, financial and contract management.
  • Excellent communication and negotiation skills.
  • Ability to work well with the public and a knowledge of Harvard Communities
